Administrative Superstar at Hereward Farms

Location: East Garafraxa, Ontario

About Us:
At Hereward Farms, we're not just about lavender. We're about creating a sustainable, vibrant community around our all-natural skincare and home products. Nestled in the heart of Ontario, our 250-acre farm is a testament to our commitment to quality, sustainability, and Canadian pride. With over 6,000 lavender plants under our care, we live by the motto: "We grow it. We make it. You love it." We're looking for an Administrative Superstar who shares our passion for nature, excellence, and lavender.

Job Description:
As our Administrative Superstar, you'll be the heartbeat of our operations, ensuring that the day-to-day activities of Hereward Farms run as smoothly as our lavender fields. You'll be our organizational guru, communication whiz, and problem-solving hero, all rolled into one. This role is perfect for someone who thrives in a dynamic environment, loves a good challenge, and is keen to grow with a proudly 100% Canadian, sustainable farm.

Key Responsibilities:

  • Manage and prioritize daily administrative tasks to support the farm operations and our product line (retail and wholesale).
  • Provide top-notch service and support as the first point of contact for our customers, suppliers, and visitors.
  • Coordinate schedules, appointments, and events, ensuring everything runs on time and without a hitch.
  • Oversee inventory, supplies, and order fulfillment with an eagle eye for detail.
  • Assist in financial management tasks, including budgeting, invoicing, and tracking expenses.
  • Contribute to team efforts by supporting project planning, product development, and marketing strategies.
  • Embrace and advocate for sustainable practices in all aspects of our operations.

Skills and Qualifications:

  • Proven organizational prowess and an ability to juggle multiple tasks simultaneously.
  • Strong communication skills, both written and verbal, with a knack for making everyone feel at home.
  • A problem-solver mindset with a dash of creativity to tackle challenges head-on.
  • Tech-savvy, comfortable with office software, and quick to learn new tools and systems.
  • A team player who values collaboration but also shines when working independently.
  • Experience in customer service, with a friendly and professional demeanour.
  • Financial literacy and a keen eye for detail, ensuring accuracy in all tasks.
  • A passion for sustainability and a desire to contribute to environmentally friendly practices.
  • Must have: digital marketing experience including Google, Social Media and Websites

Communication Skills: It is crucial to be able to communicate clearly and effectively with team members, suppliers, and customers. This includes both verbal and written communication.

Time Management: The ability to prioritize tasks, manage appointments, and meet deadlines is essential for keeping everything running smoothly.

Problem-Solving Abilities: An admin should be able to quickly identify problems and think through solutions, often under pressure.

Tech Savviness: Familiarity with office software (like Microsoft Office and Google Suite), email platforms, and possibly some industry-specific tools (e.g., inventory management software) is important. Must have a digital marketing background and experience (like Facebook, Instagram and TikTok as well as website updating).

Attention to Detail: Whether it's managing records, scheduling, or preparing products, a keen eye for detail ensures accuracy and quality in every task.

Adaptability: Being flexible and able to adjust to new challenges, tasks, or changes in the environment is key, especially in a farm setting where conditions can change rapidly.

Teamwork and Collaboration: Working well with others, whether it's coordinating with farm staff or collaborating on product development, is essential for a harmonious and productive work environment.

Customer Service Skills: The ability to interact positively with customers, handle inquiries, and resolve issues can significantly impact the reputation and success of the business.

Financial Literacy: A basic understanding of financial tasks such as budgeting, invoicing, and managing expenses can be incredibly beneficial for keeping the business on track.

Leadership Qualities: Even in an admin role, the ability to take charge, motivate others, and provide guidance when necessary is valuable, especially in smaller teams where roles can be fluid.

Creativity and Innovation: Coming up with new ideas for products, marketing strategies, or ways to improve efficiency can drive the business forward.

Sustainability Knowledge: For a farm focused on sustainability, understanding sustainable practices and how to implement them in various aspects of the business is a plus.
