Job description

We are seeking a highly motivated and organized Administrative Assistant to join our growing team. In this role, you will play a vital role in ensuring the smooth operation of our business by handling procurement, providing administrative support, and assisting with sales functions.

Responsibilities:

  • Support management with procurement, sourcing, and contracting of materials, supplies, equipment, and services.
  • Negotiate contracts with vendors to secure the best possible pricing and terms.
  • Identify procurement needs and evaluate suppliers to ensure quality and cost-effectiveness.
  • Ensure the timely delivery of goods and services by coordinating with suppliers.
  • Prepare reports on purchasing activities and maintain accurate purchasing records.
  • Assist the General Manager and staff with general administrative tasks.
  • Create a welcoming environment for customers, vendors, and staff.
  • Handle day-to-day business activities, ensuring smooth operations.
  • Schedule supplier visits, conduct competitor surveys, and monitor purchasing activities.
  • Support sales by entering orders, following up on quotes, and assisting with customer service.
  • Answer phones in a courteous manner and direct calls appropriately.
  • Maintain a positive and collaborative work ethic.

Qualifications:

  • Minimum 2-3 years of experience in procurement, purchasing, or a related field.
  • Excellent communication, interpersonal, and negotiation skills.
  • Strong analytical thinking and problem-solving abilities.
  • A willingness to learn new skills and a positive attitude.
  • Ability to work independently and as part of a team.
  • Exceptional organizational skills and a meticulous eye for detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to act with integrity, professionalism, and confidentiality.
