Responsibilities:
- Handle incoming and outgoing correspondence, including email, email, and phone calls, in a professional, friendly, and efficient manner
- Direct necessary communication and refer customers to the appropriate department, notifying the employee concerned is waiting and introducing customers to the sales consultants
- Organize, maintain, and manage both physical and digital company documents, including customer data, employee files, contracts, and agreements, etc.
- Prepare invoices, take payments, and issue receipts to customers and partners
- Help manage workflow by updating information and polices to all staffs, ensuring cooperative, accurate, and safe work procedure; report any and all accidents to the manager
- Schedule appointments for manager with employees, business partners, and other visitors
- Make business travel arrangements for manager and prepare required documents for trips
- Assist in arranging staff meetings and take notes and minutes in meetings
- Monitor the remaining level of office supplies and make orders before running out
- Perform any additional duties as assigned
Requirements:
- Completion of secondary school is required.
- College diploma or undergraduate degree in business administration or a related filed is preferred.
- At least two years of work experience as an Administrative Assistant or in a similar role. Automotive Dealership administrative experience is an asset.
- Strong customer relation skills, and ability to work well with both internal and external customers, ensuring all guests are helped
- Exceptional interpersonal and communication skills over the phone and in person.
- Organized and detail oriented.
- Ability to prioritize tasks according to importance in a fast-paced environment.
- Must be able to work in an active, social atmosphere without being distracted.
- Professional and confident attitude, strong time management skills.
- Strong proficiency and experience using Microsoft Office applications (Word, Excel, Outlook, PowerPoint) in order to develop and maintain various documents, spreadsheets, and databases.
Compensation:
$28.00/hour
