HIRING: ADMINISTRATIVE ASSISTANT FOR ONE OF THE TOP MULTINATIONAL HEALTHCARE COMPANIES

Description:
The Administrative Assistant will provide support to the Organization both locally and globally. This person will assist the current Sr. Administrative Assistant for local and global requests and act as their backup as needed for administrative duties. Coordinates activities between departments and outside parties as needed. This role is part of a global group of Admins that works locally, regionally and globally. Teamwork and collaboration is essential to be successful in this role.
Qualifications:
1) 1-2 years related administrative, operations or project support experience (experience gained in the pharmaceutical/biotechnology industry is preferred)
2)Experience working with senior leaders/management
3)Experience working in a global environment across multiple time zones a plus
4)Proficient in all available tech meeting platforms including in-room technology, video conferences, Google Meets, Zoom, and global webcasts
Responsibilities:
- Highly skilled in Google Suite and able to manage gCal scheduling of department, team and ad hoc meetings with both internal and external stakeholders
- Act as a backup to Sr. Administrative Associate
- Manage relationships with internal and external stakeholders, often with a high level of confidentiality required
- Collaborative, supports team development, seeks all relevant or useful information for the team, willing to contribute and assist others in the dept as needed
- Manage and plan team events & workshops
- Plan large mid-level, internal meetings (e.g. department meeting, large team/committee)
- Lead the planning of internal meetings requiring sophisticated technology, calendaring and catering, etc.
- Contribute to logistics of internal and external meetings
- Manage departmental gSites, Currents, websites, newsletters, etc. (collect content, distribute information, oversee maintenance)
- Coordinate collecting and implementing feedback for communications when applicable
- Manage candidate/interview process (hosting candidate, collecting feedback, preparing hiring/promotion package for review committee, partnering with Talent
Acquisition and Hiring Manager throughout the process)
- Manage administrative components and logistics of onboarding (ensure new hires have information for orientation, welcome events, new devices, etc.)
- Manage purchase orders, invoices, payment tracking and vendor maintenance
- Maintain department distribution lists
- Submit facilities, IT, and Site Service requests
