QubeCore Sports & Rehab is a North Vancouver-based multidisciplinary clinic located in Central Lonsdale. Our team is continuously growing and we are currently seeking a reliable, motivated, and enthusiastic Part-time clinic Administrative Assistant to join our Admin team!
The clinic Administrative Assistant is responsible for helping with all of the administrative duties at the front desk. This includes keeping all aspects of the clinic clean and organized while handling high volumes of phone calls, and emails and assisting the practitioners with the steady flow of appointments. The clinic Administrative Assistant serves as the first point of contact for patients and must ensure outstanding customer service from the minute the patient walks in and the moment they leave the clinic.
This is a role that requires attention to detail, accountability, and someone who is able to work well within a team. Also, it requires communication with insurance companies regarding past due invoices, following up on denied claims, and processing adjustments.
Position highlights:
- Past experience working in a Physio/Chiro clinic and Health/Fitness industry is an asset
- Customer service and/or front desk experience is required
- Understanding and having knowledge in therapy and rehab is valuable
- Strong communication, organizational, and problem-solving skills
- A mature, reliable individual with outstanding customer service qualifications, cash handling experience, and attention to detail and an organization looking to grow with a new company
- The ability to maintain accuracy while doing multiple tasks or working under pressure
- The ability to work independently or as part of a team
- The ability to deal effectively with the difficult behaviors that can sometimes be shown by people in distress
- Daily duties include: opening/closing the clinic, answering inquiries by phone, email, and in-person in a helpful and efficient manner, maintaining practitioners' appointment schedules -- booking patients, waitlisting, billing, insurance claim submissions, managing cash flow, and balancing daily transactions and settlement reports at end of the day, ensuring the clinic is clean and tidy at all times -- preparing rooms/beds, laundry, tidying the gym floor, ensuring all equipment is put away, performs all other related clinical and administrative tasks as required by the Clinic Manager
- Computer skills with knowledge of JaneApp, Telus Health eClaims, and ICBC claim billing are required
- Decide and establish office procedures and routines
- Process and record payments and deposits.
- Managing monthly cash flow and bank reconciliation
- Continued focus on improving system efficiencies and business practices
- Position start: April 2024
- Hours: 20-25hrs/week, MUST be flexible to work Evenings and Weekends.
