Team Executive Assistant
How does the role impact the organization?
The primary role of the Administrative Assistant is to support one of the high producing Advisory teams ensuring the clients receive outstanding service are hardworking and have the ability to think outside the box. The position is responsible for scheduling and organizing meetings, running the office administration and day to day, servicing client requests and ensuring quality service and professionalism at every client and partner interaction. The successful candidate must be client-service driven, self-motivated, and love to interact with clients.

Drawing on previous experience as an Administrative Assistant or Executive Assistant in a financial services firm, or upon a degree/diploma within Business Administration, you must have meticulous attention to detail, possess a positive attitude, and have exceptional interpersonal skills. The successful candidate must also be responsible, confident, self-motivated, and a team player.
What is the position responsible for?
- Providing support to two advisors on a fast paced growing team
- Foster and support client relationships by liaising with clients, responding to requests and demonstrating proactive problem solving;
- Schedule and organize meetings, including preparation and co-ordination by booking the facility, pre-mail, arranging required equipment, refreshments, etc., as required
- Be responsible for and support the team with paperwork, manage head office correspondence, and handle the account opening process for new clients;
- Head liaison and air traffic controller of the team and oversight of CRM - Salesforce
- Prepare for client meetings and have all meeting prep ready from the team for the lead advisor
- Basic financial administrative duties including sending funds, address change, client account agreement updates and one off documents
- Provide accurate, organized and efficient administrative support; collect and track data, research information, sort and distribute mail, balance and process expense reports, , proactively manage calendars, create and maintain files, and perform other administrative assignments as required
- Handle incoming and outgoing phone calls with high net worth clients and respond to requests for information;
- Proactive Self-starter: carry out special projects, as assigned and independently research, prioritize and follow up on status
- Event organizer – coordinating quarterly events remote or in person with between 10-100 clients
- Communicate internally with various operational and administration departments;
- Assisting with social media content creation and team branding of media appearances such as BNN Bloomberg, Globe & Mail, CTV etc.
- Prepare expense reports, monthly budget reports, invoice processing and purchase requisitions
- Assist with all marketing initiatives including social media (twitter, LinkedIn), and website content; and
- Grow and take courses as required for regulatory purposes.

Qualifications:
- A minimum of 1-2 years of industry related experience; and
- Basic fundamental investment concepts, practices, and procedures used in the securities industry;
- Administrative processes and procedures
- Compliance practices and regulations;
- CRM (Customer Relationship Management) software and maintaining/improving CRM databases is required
- Dataphile is an asset.
- Microsoft Office with a willingness and ability to learn new applications;
- LinkedIn, Facebook, and Twitter; YouTube and Instagram
- Demonstrate advanced face-to-face, email, videoconferencing, and telephone etiquette and relationship management skills;
- Experience in the real estate, financial services, customer service, hotel management industry is an asset.
- Completion of the Canadian Securities Course (CSC) is an asset.

Salary Range: BC (based on Education, Work Experience, etc) $45,000-$50,000 in addition to competitive performance bonuses/incentives.
