We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. The Administrative Assistant will support managers and employees through a variety of tasks related to organization and communication. The candidate must be self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.
Responsibilities:
Greet and assist visitors in a professional manner.
Answer and direct phone calls appropriately.
Manage and maintain executives' schedules, appointments, and travel arrangements.
Organize and schedule meetings and appointments.
Produce and distribute correspondence memos, letters, faxes, and forms.
Develop and maintain a filing system.
Act as the point of contact between executives and internal/external clients.
Handle sensitive information in a confidential manner.
Take accurate minutes of meetings.
Coordinate office events and meetings, including preparing agendas and taking minutes.
Perform general office duties such as photocopying, scanning, and filing.
Maintain office equipment and report any malfunctions.
Requirements:
Knowledge of office management systems and procedures.
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
Excellent time management skills and the ability to prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organizational skills with the ability to multitask.
