Job Summary
Community Visions and Networking (Quinte) (CVNQ) is looking for an experienced Administrative Assistant to assist in the day-to-day administration of the agency. The purpose of the Administrative Assistant is to act as a assistant to the agency and Executive Director in a confidential and supportive role. This requires onboarding of new employees, marketing activities, financial record keeping and processing responsibilities, and administration duties as well as elements of an office coordinator role.
Confidentiality, excellent organizational skills and accuracy are important qualifications for this position, as well as good customer relations and the ability to communicate clearly. The ideal candidate for this position is a skilled multi-tasker, is reliable and is committed to consistently meeting deadlines.
Reporting Relationship :
The Administrative Assistant reports directly to the Executive Director and works in collaboration with the Supervisors, Executive Director and Administrative team.
General responsibilities but not limited to:
Office Management
- Preparation of documents using computer as assigned by the Executive Director, Supervisors or as requested by Coordinators.
- Maintain good working relationship with suppliers, people receiving services, other agency personnel, and external partners.
- Systems maintenance for documentation current and historical.
- Office Management, reception duties, process incoming & outgoing mail, ensuring flow of required reports incoming & outgoing
- Contribute to problem solving around support issues, administration
- Prepare and distribute all hiring & orientation information for employees, students, and volunteers.
- Monitoring work assignment system
- Assist Administrative team as needed
- Other duties as assigned
Marketing
- Grants writing
- Fundraising events
- Social Media management
- Other duties as assigned
Qualifications
- Computer experience in MS Office Software
- Knowledge of Network/Server Environment
- Knowledge of office procedures and reception duties
- Experience with office administration
Skills, Abilities & Knowledge
- Ability to work independently and with minimal supervision
- Excellent organizational and communication skills
- Ability to work as a team member
- Adaptability, flexibility and a willingness to respond to a variety of different situations
- Knowledge and experience with community-based organizations

Hours of Work:
Monday - Friday 9:00 a.m. – 4:00 p.m.
Job Type: Full-time
Salary: From $20.00 per hour
