Position Summary:

Under the direction of the Executive Director, this position is responsible for providing crucial administrative support to assist with the overall efficiency and success of the organization. This position provides comprehensive administrative support to the Executive Director including managing calendars, scheduling appointments, and coordinating meetings. Prepares meeting agendas, records accurate minutes, and distributes them in a timely manner. Duties include assisting with meeting support, coordination of initiatives related to equity, diversity and inclusion, statistical information collection and analysis, as well as research and report preparation. This position also audits program sites and collaborates with team members to gather necessary information to ensure Ministry compliance. This position assists in the preparation of reports based on data analysis. Collaborate with relevant departments to ensure accurate and up-to-date information.

Employment Guide:

  • A diploma or degree in Business Administration, Office Administration or related program from a recognized university/college required.
  • Must have 3 – 5 years of experience providing administrative support.
  • Experience in the non-profit and/or healthcare sector is beneficial.
  • Ability to organize, prioritize, meet tight deadlines, problem-solve, multi-task and work independently as well as part of a team are all essential skills for this position.
  • Experience in statistical data collection and analysis is an asset.
  • Demonstrates a commitment to equity, diversity, and inclusion initiatives.
  • Must possess exceptional verbal and written communication skills with an aptitude for detail, accuracy, clarity and editing.
  • Proven ability to use sound judgement and problem-solve effectively are necessary.
  • This position requires an individual with a high work ethic, integrity, ability to maintain confidentiality, and discretion.
  • Must be able to relate well with a wide range of people including customers, colleagues, government officials, members of the media, partners, Board, staff and wider community.
  • High proficiency in Microsoft Suite and database management essential.
  • After-hours work may be necessary occasionally to provide support with meetings or community events.
  • A valid driver’s license and a reliable vehicle are required for this position.
