As the successful candidate, as Administrative Assistant EDC, you will be responsible for providing administrative support to the Central Okanagan Economic Development Committee - a 45 member advisory body made up of elected officials, community partners and industry leaders, including organizing and carrying out all meeting logistics, coordinating meeting material and notices, supporting technical set up, taking meeting minutes, tracking meeting follow-up and action items. You will:
- Provide exceptional customer service as the first line of contact with the public, business community and partner organizations:
- Monitor and direct telephone, email and in-person inquiries to the appropriate EDC staff or resource.
- Query clients to assess needs and refer to internal or external resources as appropriate.
- Schedule meetings, presentations, and site visits.
- Perform administrative functions to support day-to-day operations:
- Support department financial operations by reconciling purchasing card statements, creating purchase requisitions and liaising with finance department.
- Arrange and book travel for EDC staff.
- Source and order office supplies, print materials, conference and tradeshow assets.
- Perform administrative functions related to the Central Okanagan Economic Development Committee:
- Coordinate committee meetings according to approved annual meeting schedules.
- Create and distribute meeting agendas and minutes.
- Coordinate recruitment process for committee members with support of Manager and maintain records of appointees to committees, including drafting appointment letters, creating and updating on-line forms, data entry, website updates and advertisement placements.
- Other duties as required.
To be successful in this role, you will have a certificate in office administration or related area and one year of experience in a customer service focused administrative role. You will have the ability to manage multiple work assignments with strict timelines and changing priorities. Additionally, you will have exceptional customer service skills and the ability to work within a team.
This is a part-time CUPE 338 position that works 26 hours per week with flexibility in shifts and pays $31.97 per hour.
