Providing administrative support to the Director of Client Services as well as to the intake department, and maintaining critical information in our M365 SharePoint system, our client data system GoldCare, and our online training and policy system Surge Learning are key duties. Responding to requests about waitlists and client electronic files, performing administrative services such as scheduling appointments, report writing and using systems to locate data (such as electronic health records) are also key to the position. Job Overview
Reporting to the Director of Client Services, the Administrative Assistant will be responsible for:
- Providing administrative support to the director, as well as to the intake department
- Supporting client communication and intake such as scheduling appointments, typing, editing, report writing, filing, photocopying, the scanning and posting of documents and memos, faxing, taking meeting minutes
- Responding to phone, fax and electronic inquiries regarding waitlists, client files and data in a timely manner
- Ordering and management of office supplies, employee cellphones and other equipment
- Back up reception support
- All other duties as assigned
Requirements
- Post-Secondary education with applicable business courses
- A minimum of at least one years' experience in an Administrative Assistant role
- Comprehensive and expert knowledge of Microsoft 365 and SharePoint
- Strong attention to detail is critical.
- Excellent communication, interpersonal, organizational and time management skills
