Position Summary:
Reporting to the director of the GCWCC, the Administrative Assistant is responsible for providing campaign support to the Government of Canada Workplace Charitable Campaign (GCWCC). This includes client database support, fulfilling campaign speaking engagements, direct phone support fulfilling retiree donor inquiries and electronic event setups. Bilingualism is essential.
This is a hybrid position.
Responsibilities
Office Management
- Provide campaign support to campaign team
- Maintain SharePoint content and best file sharing practices
- Support donors and volunteer inquiries
- Liaise with processing and finance to fulfilling donations
Database - Andar
- Lead on maintaining the data base with key volunteers contacts
- Maintain and update account information – Maintaining real time accuracy
- Perform data extracts in support of client and portfolio managers
Other Duties
- Set up training sessions and perform appropriate follow ups
- Respond to all retiree hotline calls, ensuring clients’ needs are fully met
- Perform outbound calls thanking donors and confirming ongoing gifts
- Manage general email Inbox and support requests or dispatch to appropriate persons to respond and resolve.
- Track all speaker requests and route appropriately, consistently maintaining client expectations.
- Scope client needs for events and perform event setup in software platform
Qualifications:
Education:
- Post secondary education or equivalent experience
Experience:
- 2-3 years administrative experience
Knowledge, Skills and Abilities:
- Proficiency in Microsoft Word, Excel and Power Point
- Proficiency in database management
- Excellent organizational and time management skills
- Developed communication (verbal and written) and interpersonal skills
- Team player and ability to work in a fast-paced environment
- Flexibility and Initiative
- Bilingual in both official languages
