Allester Engineering Interior (part of Allester Group) is seeking a full-time or part-time Administrative Assistant in our expanding company. We are looking for a candidate that can work in a fast-paced, team-oriented environment with a positive attitude. This individual will have exceptional communication, analytical, and organizational skills, and the ability to multitask, all while providing great customer service to both our new and long-term clients alike. There will be opportunities to take on additional responsibilities with proven ability.
Job Responsibilities:
- Answer phones and voicemail
- Greet visitors and staff warmly as they enter the office
- Email correspondence with clients in a professional manner
- Filing project documents
- Maintain project files, documents, and associated documentation
- Set up incoming projects by preparing memos and fee proposals for staff as required
- Data entry
- Book travel for staff
- Take meeting minutes
- Maintain a strict code of confidentiality
- Working with the admin team located in the Vancouver office
- Report to the Director of Operations
- Complete other office related duties as required including maintaining a clean and tidy office, coordinating equipment maintenance, and ordering supplies
Job Requirements:
- Certificate, diploma, degree, or equivalent experience working in an office setting
- Fluent in English, written and verbal
- Competent in MS Office
- Ability to follow directions
- Ability to multitask in a fast-paced environment, while adapting to changing deadlines and priorities
- Ability to work as part of a team and individually with limited supervision
- Positive attitude
Job Types: Full-time, Part-time
Salary: $22.00-$26.00 per hour
Expected hours: 20 – 40 per week
