Job description

Kaymar Rehabilitation (Kaymar) is a trusted, professional rehabilitative service provider that provides Occupational Therapy, Physiotherapy, Speech-Language Pathology, Nutrition, and Social Work services to patients of Home and Community Care Support Services (HCCSS). Kaymar has been a contracted provider of HCCSS (formerly SE LHIN) in Kingston and the surrounding area since 2003. Kaymar provides services to patients in their place of residence and to children in their school setting in the official language of their choice.

We are currently seeking a dynamic, organized and committed individual to join our team in the position of Administrative Assistant.

Position Summary:

The Administrative Assistant is responsible for providing overall administrative support to the management, office team and staff therapists. This is a part time position (0.6FTE) with an opportunity to become full time. The work location is at the office/on site in Kingston.

Key Responsibilities:

  • Answer and direct phone calls, emails, and inquiries to appropriate personnel.
  • Schedule and coordinate appointments, meetings, and events for management and office teams.
  • Provide general support to visitors, act as the point of contact for internal and external clients and provide general support to visitors.
  • Manage office supplies and equipment.
  • Input and update data in databases, spreadsheets, and other systems.
  • Maintain accurate and organized filing systems for documents and records.
  • Assist in organizing meetings, take meeting minutes and distribute them as needed.
  • Provide general administrative support to executives or team.
  • Collaborate with other administrative staff to ensure seamless office operations.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Utilize office software and tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant applications.

Qualifications and Requirements:

  • Knowledge of office management systems and procedures
  • Excellent time management skills and the ability to prioritize.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • High School Diploma; additional qualification in administrative role will be an asset
