Position overview

We have a full-time, permanent opportunity for an Administrative Assistant in the Maintenance Department. Reporting to the Director, Maintenance, this role will be responsible managing schedules, meetings, and communications; invoicing and budgets; and providing meeting support around PowerPoint presentations and reporting.
Key responsibilities include:
- Manage and provide administrative support for the Director in areas including, but not limited to managing calendar, scheduling meetings and travel arrangements, invoice processing, department inventory and purchases, document filing (electronic and hard copies).
- Coordinating all aspects of departments office budget – creating desktop requisitions, tracking invoices, analyzing.
- Creating and preparing correspondence, such as PowerPoint presentations, reports, agendas, and letters/email.
- Coordinating department workspace and technology needs; procure necessary equipment and supplies for department operations; ensure supplies inventory is maintained and replenished as required.
- Utilizing Maximo and various tools to construct and disseminate departmental Key Performance Indicators
Key qualifications include:
- Two years’ recent, related experience in administration, accounting, communications, public relations, or graphic design.
- Proficiency with Microsoft Office Suite (specially to operate spreadsheet using Excel and word processing program using Word, Access database).
- Ability to prioritize and manage multiple tasks with a willingness to work under pressure to meet deadlines
- Strong organizational ability.
- Excellent written and verbal communication skills.
This position is open to both Vancouver Airport Authority employees and external applicants. Previous job performance will be taken into consideration for all internal candidates that apply for this position.

Salary Range : $56,911 to $74,375 per annum, based on 37.5-hour work week. This is individually tailored to reflect your unique experience, qualifications, and internal equity.
