Our team is seeking an Administrative Assistant to join our team and support our legal and Real Estate professionals in delivering exceptional service and in completing development projects.
We are looking for a team member with a background in either law, development, construction, or the trades who will provide support to our team.
Job Description: In this role you will be responsible for assisting in various administrative tasks to enhance our workflow and processes. This position provides a great opportunity for learning and growth within a team environment with varying responsibilities from day to day. You will be working with multiple team members on various legal, development, construction and property management related tasks in a face paced environment. You will be working alongside an experienced team in a great work environment.
Key Responsibilities:
Be positive and a great teammate to those you work with.
Provide administrative support to team, including document preparation, filing, scheduling, quoting and communications.
Assist with reception, deliveries, mailing outs, payments and documentation.
Act as a liaison between the team and various parties including municipalities, professionals, lawyers, architects, engineers and trades to ensure effective communication and coordination.
Manage and organize project documentation, reports, and correspondence.
Utilize your skills to automate repetitive tasks and streamline workflows where possible.
Handle general office tasks, such as answering phone calls, managing office supplies, and coordinating meetings and events.
Qualifications:
Experience in administrative support work or customer service.
Strong work ethic, organizational skills, computer skills and a desire to learn.
Proficiency in using development tools and software, Microsoft Office Suite (Word, Excel, Outlook) and legal software is a plus.
Strong organizational and time management skills, with a keen attention to detail.
Excellent communication skills, both written and verbal.
Ability to work collaboratively in a team and across different departments.
Highly self-motivated, proactive, and adaptable to changing priorities.
Discretion and the ability to handle confidential information with care.
