Job Title: Administrative Assistant to Academic Department Leadership

About Us: Sheridan College has partnered with CCTT (Canadian College of Technology and Trades) to deliver Sheridan academic programs in Fort Erie, Ontario. This is the first public college-private partnership outside of the GTA. Students will be job ready, receive a Sheridan credential, and have access to the post-graduate work permit upon graduation. Our partnership seeks to fill the province’s labour gaps in skilled trades and other key industries.
As we continue to grow and expand our academic offerings, we are seeking a highly organized and proactive Executive Assistant to support our academic leadership in driving academic excellence and achieving strategic objectives.
Responsibilities:
- Administrative Support:
- Manage the schedule of academic leadership, including appointments, meetings, ordering, and other administrative tasks.
- Prepare and organize documents, reports, and presentations for internal and external meetings.
- Handle incoming communication on behalf of academic leadership, ensuring timely responses and appropriate prioritization.
- Communication and Coordination:
- Act as a liaison and be the first point of contact between the academic leadership and internal/external stakeholders, including college faculty and staff.
- Coordinate and facilitate communication flow within the academic leadership team and various departments.
- Project Management:
- Assist in coordinating and managing special projects and initiatives led by the academic leadership.
- Track project timelines, deliverables, and key milestones to ensure successful completion.
- Research and Analysis:
- Conduct research and gather information on academic trends, best practices, and relevant policies to support decision-making by academic leadership.
- Prepare briefing materials and background documents for meetings and presentations.
- Event Planning:
- Support the planning and execution of academic events, conferences, and meetings, ensuring seamless coordination and logistics.
- Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality and discretion.
- Maintain a high level of professionalism in dealing with confidential matters and communications.
Qualifications:
- Diploma, Advanced Diploma, Bachelor's Degree in a relevant field.
- Proven experience as an executive assistant or in a similar role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficient in MS Office Suite and other relevant software.
- Ability to work independently, prioritize tasks, and meet deadlines.
- High level of discretion and professionalism.
- Knowledge of the education sector and understanding of public-private partnerships is an asset.
