Job Description:
We are seeking a proactive and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide crucial support to ensure smooth office operations and assist in various administrative tasks.
Responsibilities:
- Scheduling and Coordination:
Administrative assistants in HVAC and plumbing businesses play a pivotal role in facilitating communication, organization, and customer satisfaction. Their efficient support enables the technical team to focus on delivering high-quality services to clients.
- Manage the scheduling of appointments for HVAC and plumbing technicians, ensuring efficient allocation of resources.
- Coordinate with clients to schedule service calls, installations, and maintenance visits, considering urgency and availability.
- Customer Service:
- Serve as a primary point of contact for clients, addressing inquiries, scheduling requests, and service-related issues in a professional and courteous manner.
- Communicate with customers to confirm appointments, provide updates on technician arrival times, and follow up on completed services for feedback.
- Documentation and Record-Keeping:
- Maintain accurate records of service calls, work orders, and customer information using electronic databases
- Assist in preparing quotes, invoices, and service contracts, ensuring all documentation is completed accurately and promptly.
- Billing and Accounting Support:
- Assist with billing processes, including verifying service charges, preparing invoices, and processing payments.
- Work closely with the accounting department to reconcile accounts, track expenses, and manage accounts receivable/payable as needed.
- Administrative Support:
- Provide general administrative support to the technical team and management, such as typing correspondence, preparing reports, and organizing meetings.
- Assist in maintaining a clean and organized office environment, including managing office supplies and equipment.
- Technical Support:
- Serve as a liaison between customers and technical staff, relaying information accurately and efficiently.
- Provide basic technical assistance over the phone or email to troubleshoot minor issues or answer customer inquiries.
- Compliance and Documentation:
- Ensure compliance with industry regulations and company policies regarding safety, licensing, and environmental standards.
- Assist in maintaining documentation related to licensing, certifications, and permits required for HVAC and plumbing services.
Qualifications:
- Previous experience in an administrative role or similar position.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong communication skills, both written and verbal.
- Attention to detail and ability to multitask effectively.
- Proactive problem-solving abilities and a positive attitude.
- Ability to work independently and collaboratively in a team environment.
