Paul Davis Windsor-Essex is seeking a highly motivated, results oriented individual to join our team as Administrative Assistant/Receptionist.
Paul Davis provides Full Service Project Management Teams, in-house Mitigation utilizing our drying-in-place technical expertise and an in-house Contents Processing Facility.
Job Description:
Duties and Responsibilities
- Provides reception duties and assists callers to determine needs while providing excellent customer service.
- Manages Company email.
- Delegates new assignments, creates job files and enters the information in various software.
- Issues invoices.
- Manages receivables and prepares monthly accounts receivable statements.
- Sends material samples for validation.
- Manages Equipment Tracking entries and ensures the accuracy of the Customer Responsibility Forms.
- Updates Paul Davis Call Routing with local Adjusters and manages on-call changes weekly.
- Completes job closings.
- Orders and manages office supplies.
- Plans work priorities, assist and oversees all administrative functions in the team.
- Manages, maintains and assist the filing systems in the administrative team.
- Receives and distributes mail in a timely manner.
- Maintains good customer relations to detect and resolve issues and concerns.
- Handles filing, typing, record keeping, etc.
- Participates in CAT program.
- Other duties as assigned.
Knowledge, Skills and Abilities
- Proficient MS Office (Excel, Word, Outlook, Teams).
- Excellent organizational and multitasking skills are required.
- Dedicated to outstanding customer service.
- Must be detail oriented.
- Ability to prioritize and have great time management skills.
- Investigation/problem solving.
- Excellent communication skills (verbal and written).
- Ability to establish priorities, work independently and/or as part of a team and proceed with objectives with minimal supervision.
- Ability to handle repetitive tasks in a timely manner.
- Knowledge of business practices and management techniques.

Education and Experience
- Preferred College Diploma in Business Administration or related areas.
- 2-years previous office experience dealing with accounts receivable are an asset.
Hours of Work
Monday to Friday 8:30am- 5:00pm
Benefits available after successfully passing the 6 months probational period.
Job Types: Full-time, Permanent
Salary: $20.00-$23.00 per hour
Expected hours: No less than 40 per week

- AEC / DEP or Skilled Trade Certificate (preferred)
