PURPOSE OF THE POSITION:
The Administrator Support is responsible for interacting between all levels of management and unionized employees and providing support to the Engineering front line managers and directors. This position is accountable for all administrative aspects of crew activities including daily reporting for Engineering field operations, unionized time and expense entries, and supporting and working collaboratively with other team members. The Administrator Support will also assist the Engineering Works Team as required through ad hoc reporting, entry analysis, Bid Award support, and development, testing and training of various initiatives required for the business.
POSITION ACCOUNTABILITIES:
Input and trouble shoot time entries for unionized employees
Submit Daily Production reports and make necessary corrections as required
Cross-reference the scope, schedule and project numbers, charge-out the field material consumption in SAP and validate that the charge-outs match before submitting
Update the material and Director reports
Participate in material reconciliation meetings and update entries as required
Update the crew consists as required
Review, validate and submit unionized personal expense claims on a weekly basis
Submit position change requests and returns from leave as required
Manage day-to-day requirements from Engineering production crews including hotel booking requests, HR inquiries, etc.
Order basic supplies required for crew operation
Provide feedback and help to identify process improvements
Participate in the development, training and roll-out of initiatives to the field
As seasonally required, assist the Bid Award Team call centre
Assist with the preparation of and attend annual crew start-up meetings
POSITION REQUIREMENTS:
High school diploma or GED Equivalent required post-secondary diploma is beneficial
Knowledge and demonstrated ability in the advanced use of Microsoft Office applications, particularly MS Excel
Strong written and verbal communication skills
Working knowledge of SAP applications material, time or expense entry knowledge is an asset
Understanding of Engineering Field Operations
Understanding of Engineering collective agreements
Ability to pay attention to detail and understand and process information from various groups
Proven ability to work collaboratively with others on an individual, team and project basis
Ability to work effectively with a variety of people from the front line-employee to senior management with courtesy and integrity
Ability to work with established processes and to develop new processes
Ability to exhibit exceptional patience, balance with strong, proactive approach to get things done and continuous improvement of CP core principles
Bilingual in English and French is an asset

Management Conductor Program:
Becoming a qualified conductor or locomotive engineer is the single best way for a management employee to learn the business at CP. You may be required to obtain a certification or to maintain your current certification/qualification as a conductor or locomotive engineer.
