The Administrative Support will act as the initial contact for all patients and supports the delivery of primary care services with the Grande Prairie Primary Care Network. This position receives referrals, calls patients, and books appointments with providers. The position is also responsible for tracking intakes, final discharge procedures, and reception duties. The Administrative Support performs work as required and functions as an effective member of the multidisciplinary team.
This is a full-time 18 month fixed term position (37.5 hours per week).
Duties & Responsibilities:
- Answers the telephone and schedules, confirms and books follow-up appointments
- Greets patients
- Receives and communicates messages
- Uses health software and other computer applications to book appointments or prepare reports, invoices, financial statements and medical records
- Ensures intake forms or other documents have been filled in by patients as appropriate.
- Completes insurance and other claim forms
- Sets up and maintain records management systems including classifying and coding electronic file
- Operates office equipment such as voice mail messaging systems and document scanners
- Process payments, bank documents and accounts receivable.
- Assists with gathering evaluation data
- Serve as first contact for physician referrals
- Coordinate and direct referrals
- Determine in conjunction with team members if referral is appropriate
- Input new patients into the electronic medical record (EMR), accurately and in a timely manner
- Book New Routine and Routine Urgent appointments for patients
- Enter patients in patient tracker and patient lists
- Participate in team meetings and professional development opportunities
- Manage correspondence (paper and e-file) and respond to routine requests
- Discharge patients and remove from patient lists
- Report back to the patient’s family physician in a timely manner as required or directed by care team members including assisting with correspondence
- Perform other clerical and administrative functions as required.
Required Skills & Abilities:
- Proficiency in the use of computers and office equipment
- Knowledge of family practice operations is an asset
- Understanding of electronic medical records is an asset
- Ability to maintain patient privacy and confidentiality
- Ability to deal effectively with the difficult behaviors sometimes exhibited by people in distress
- Good organization and time management skills
- Excellent oral and written communication skills
- Ability to maintain accuracy while multi-tasking or working under pressure
- Ability to collaborate with other multi-disciplinary team members
- Ability to follow directions closely and accurately
Qualifications:
- High School diploma required
- Administrative assistant certificate required
- Experience in a medical office an asset
