Position Summary
Reporting to the Human Resources (HR) Coordinator, the Human Resources (HR) Assistant works with the HR Coordinator to maintain and enhance the organization's Human Resources department by implementing, Human Resources policies, programs, and practices. The HR Assistant monitors employee professional development, employee schedules and employee benefits and assists in administrating these programs.
As part of the Human Resource team the HR Assistant is involved in recruiting, hiring, and training new employees. The HR Assistant is responsible to assist the HR Coordinator in developing and administering Human Resources plans and procedures that relate to company personnel. The HR Assistant ensures that recruitment is of high quality and adheres to the philosophy and policy standards of the association.
1. Specific Duties and Responsibilities
a. Responsibilities
- Provide assistance and support in facilitating Human Resources processes
- Working with the Program Leaders, Program Coordinators and HR Coordinator, identify qualifications necessary to fill vacant positions.
- The HR Assistant is responsible for assisting in the recruitment of staff by screening applications, interviewing prospective candidates as part of an interview team completing reference checks and ensuring all required documentation is in place.
- Conducting association orientations for each new staff in consultation with the HR Coordinator, according to policy, utilizing the orientation process and checklists as applicable.
- Posting job openings, gathering information on new applicants, contacting references, and informing employees of their hiring status.
- Responsible for handling travel arrangements for association employees attending training.
- Answering employee requests and questions
- Assisting the Human Resources in the development of position descriptions for newly created positions.
- Ensure personnel files are kept up to date and ensure confidentiality at all times.
- Promote team building and open communication at all times.
- Document and relay major problems and staff grievances to the HR Coordinator and Executive Director for joint action.
- Assist in ensuring all staff receives important Human Resource and association information as applicable to their position.
- Assist in conducting exit interviews with employees that are terminating employment as directed.
b. Employee Support
- Establish a supportive and effective relationship with staff that access the HR department.
- Act as a role model and display appropriate responsible behavior.
- Encourage the community integration of Individuals. Develop and implement opportunities for structured, formal as well as informal involvement in the community.
- Direct employee issues, differences and grievances as they arise to the appropriate person using the appropriate lines of communication in a supportive manner.
- Ensure staff, according to policy, completes all mandatory training
- Assist in administering the group health insurance plan as per policy. Ensure staff has access to the appropriate forms and information as requested.
- Assist with facilitating return to work plans for employees returning from leaves.
c. Recruitment
- Assist the HR Coordinator to develop and maintain relationships with college and university placement offices.
- Work alongside employment agencies and utilize job banks
- Attend career fairs on behalf of or with the HR Coordinator to generate qualified applicants
- Provide company information and job opportunities to potential candidates
- Assist with researching, analyzing, preparing, and presenting hiring statistics
d. Liaison
- Establish and maintain effective and open communication with association employees, service providers and relevant community agencies.
- Establish and maintain a functional working relationship with other areas of support within the organization to ensure a coordinated and unified approach is staffing.
- Represent the Association as requested at community meetings and other events in order to promote community awareness and acceptance of persons with mental disabilities.
e. Teamwork
- Work effectively with team members in a positive and professional manner.
- Act as a resource for information necessary to the team
- Uphold responsibilities to colleagues as per Employee Code of Ethics
f. Professional Development
- Assist in ensuring all Association professional development needs are met.
- Identify training and developmental needs with Coordinators.
- Attend at least two relevant seminars per year.
- Participate in staff meetings and sessions as required.
g. Other
- Any other duties required from time to time by the Executive Director.
- Participate in Board committees as requested.
- Submit suggestions and ideas that will improve and strengthen the provision of support to individuals or general agency operation.
2.Qualifications
a.Education
•Certificate in Human Resource Assistant.
b.Experience
•2-years’ experience in the field of Human Resources.
c.Abilities/Skills
•Well organized, efficient and productive.
•Good working knowledge of computers, databases and preferably experience withFileMaker.
•Superior interpersonal, verbal and written communication and leadership skills
Job Type: Full-time
Salary: $21.87-$32.68 per hour
