The Box Office Assistant reports directly to the General Manager. Their primary responsibility is overseeing the reliable and consistent operation of the Box Office during the day and supporting events in the evenings through maintaining bar inventory, bar sales, inventory management, assigning duties to volunteers, and the fulfillment of hospitality riders in the green room.
Responsibilities:
Customer Service:
- Greet patrons in a friendly and professional manner.
- Provide information about upcoming events, performances, and venue policies.
- Handle customer inquiries, concerns, and requests with efficiency and courtesy.
- Redirect patrons to correct office areas (ED, GM, Tenant offices).
Ticket Sales:
- Process ticket sales accurately and efficiently using our ticketing system.
- Process refunds or exchanges in coordination with Marigold policies.
- Assist patrons with seat selection and provide guidance on available ticket options.
- Handle cash and electronic transactions with attention to detail and accuracy.
Event Support:
- Collaborate with other staff members to ensure smooth event operations.
- Greet and provide guidance to patrons during events.
- Help with the setup and breakdown of Box Office materials and signage.
- Organize volunteers – signing up for events & assigning duties.
- Set up ticket scanners for volunteers use.
- Set up artist merchandise table and calculate artist/venue split at end of show.
- Ensuring the bar is fully stocked and ready for events.
- Review and purchase necessary items for artist’s rider.
- Book meal reservations and create meal vouchers for artist.
- Ensure artist receives their payment.
- Print will-call tickets in advance to ensure a quick and easy ticket pick-up experience.
Administrative Tasks:
- Maintain organized records of ticket sales, attendance, and customer information.
- Assist in preparing daily and event-specific reports.
- Contribute to the improvement of Box Office processes and procedures.
- Return phone messages in a timely manner.
- Answer general inquires via email or social media messages.
- Maintain and update existing spreadsheets:
- Arts & Education registrations
- Memberships
- Take Your Seat payments
- Art Gallery sales
- Donations
- Corporate Seat Sponsorships
- Profit/loss
- Prepare and send tax receipts.
- Update external LED display and marquee.
- Create Facebook events.
- Create promotional flyers/brochures/online ads
Qualifications:
· Communication Skills: Strong verbal and written communication skills are essential for interacting with patrons, answering inquiries, and providing information about events.
· Customer Service Skills: Box office staff deal directly with customers, so excellent customer service skills are important. Patience and the ability to handle challenging situations diplomatically are valuable.
· Computer Skills: Proficiency in basic computer skills is necessary, as Box Office systems are often computerized. Familiarity with Microsoft Office applications, Google applications, ticketing software and point-of-sale systems may be required.
· Math Skills: Basic math skills are important for handling cash transactions, making change, and reconciling sales at the end of shifts.
· Organizational Skills: Box office staff must be well-organized to manage ticket sales, keep accurate records, and ensure a smooth flow of patrons during events.
· Attention to Detail: Precision is crucial in processing ticket orders, assigning seats, and providing accurate information. Mistakes can lead to customer dissatisfaction and operational issues.
· Multitasking Abilities: Box office staff often need to handle multiple tasks simultaneously, such as assisting customers, processing transactions, and addressing inquiries.
· Cash Handling Experience: If the Box Office deals with cash transactions, experience in handling money securely and accurately is beneficial.
· Knowledge of Events and Venues: Familiarity with the types of events and the layout of the venue can be an asset for providing accurate information to patron
· Teamwork: The ability to work well with others is important, as Box Office staff often collaborate with colleagues, event organizers, and other departments.
· Flexibility: Events can have unpredictable schedules and varying demands. Being flexible and adaptable to changing circumstances is an important quality.
· Problem-Solving Skills: Box office staff may encounter challenges or discrepancies that require quick and effective problem-solving skills to resolve issues promptly.
· Bilingualism is an asset.
Compensation:
- Benefits package available after 6 month probationary period.

- Hourly wage between $16 and $19/hr dependant on experience.
