AREA OF RESPONSIBILITY:
Reports to the Senior Advisor, Disability Management, this position is responsible for providing operational support to the Disability Management Team with a focus on the coordination of WSIB claims from creation to closure as well as administratively supporting the management of STD and LTD claims. The incumbent will facilitate and process documentation and transactions related to WSIB and disability claims management and help with educating our managers and employees with the workers compensation and disability claims processes.
KEY RESPONSIBILITIES
OPERATIONS SUPPORT
- Support HR stakeholders in managing WSIB claims management. Maintain records of all WSIB claim files from creation to closure. Review WSIB cost statement to ensure appropriate costs are levied at the City. Coordinate RTW/Medical Accommodations meetings with all employees who require an accommodation for medical reasons or are returning from an extended medical absence for occupational or non-occupational illnesses. Coordinate the case management of WSIB, STD and LTD disability claims. Participate in problem solving, including addressing and resolving complaints with pay and entitlement. Assist with the maintenance of case files. Participate in the revision or review of disability plans with regards to processing and entitlement as appropriate. Arranging for assessments to take place including FAE’s (functional abilities evaluation) and IME’s (Independent Medical Examination), etc. Ensure the safeguarding of all confidential files.
CUSTOMER SERVICE
- Respond and handle service related enquiries within the established service standard timelines. Providing advice and guidance, including policy procedure, and collective agreement interpretation on Disability Management, return to work and medical accommodation.
CORPORATE CONTRIBUTION
- Conduct research and analysis using various resources to gain insight of current program/project, processes and practices to assist team in ways to improve service solutions and support operational needs. Researching and coordinating training sessions on abilities management, return to work and medical accommodation.
COMMUNICATION AND REPORTING
- Monitoring WSIB, STD and LTD claims by maintaining communication with the employee and their leader. Collecting data, analyzing and generating reports and program statistics while ensuring data quality. Assist with the development of templates, forms, letters, etc. Prepares communications (letters, etc.) to supervisors, employees and insurance providers regarding claims management. Working collaboratively with the various unions, while addressing complex cases with the WSIB, HR, OD and the LTD providers.

- Assist in special projects as required. Work within diverse groups to support operational goals and objectives. Demonstrate corporate values at all times. Participate as a member of cross-functional team. Provide support/backup as necessary to team members.
SELECTION CRITERIA:
EDUCATION:
- Post-secondary degree in Human Resources, Occupational Health, Kinesiology, Nursing, Social Work or other related academic program.
REQUIRED EXPERIENCE:
- A minimum of two (2) years of experience with disability claims and WSIB claims management in a unionized environment. Previous experience using HRIS & Claim management systems (e.g., Parklane, PeopleSoft etc.) is required. OR equivalent combination of education and experience may be considered.
OTHER SKILLS AND ASSETS:
- Working knowledge of policies, legislation and principles pertaining to Disability Management and accommodation, such as the Workplace Safety & Insurance Act, Ontario Human Rights and Accessibility legislation, and other relevant legislation. Excellent communication skills, both verbal and written and presentation skills. Attention to detail, excellent organizational, analytical and problem-solving skills. Proven ability to manage time in a deadline-oriented environment. Customer service skills, including exercising tact, diplomacy and sensitivity when dealing with employees in a multi-union and non-unionized environment and staff at all levels, as well as external stakeholders. Ability to work as both a team player and independently, with minimal supervision. Demonstrate a commitment to diversity, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias.
- Problem solving and critical thinking skills. Proficient in the use of spreadsheets, databases and word processing. Excellent data analysis ability and familiarity with computerized absence tracking and reporting methods. A high level of computer proficiency, especially with collection of information, data, and reporting. Developed computer skills in Microsoft Office, SharePoint, PeopleSoft, Parklane or other claims/attendance management systems.
