The Executive Assistant is responsible for providing comprehensive support to the President and designated members of the executive management team with tasks such as scheduling; reviewing, prioritizing, and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings, and any other administrative tasks that help the executive management team perform their job.
Duties & Responsibilities
- Providing effective and efficient administrative support to individual Executive team members by screening calls, managing email and voicemail and making decisions as to proper handling and preparing responses
- Managing calendars of Executive team members
- Completing executive management personal expense reports and review employee expenses reports submitted to Executive management for approval
- Providing support in preparation for the Executive meetings including interfacing with subordinates of the Executive for the preparation or compilation of the agenda and meeting materials
- Conducting research and compiling information for status reports re departmental projects or company task forces, where information must be gathered and compiled from a variety of sources.
- Prepares correspondence and written communications
- Oversee the Office Services function to ensure appropriate administrative support is provide to the Executive team
- Effectively retain a confidential Corporate Documentation Library
- Effectively co-ordinate various communication efforts across the organization for example; assisting Executive/Senior Management with drafting and editing communications, ensuring all communications are consistent, acting as a gatekeep for the formatting, vetting, approval and roll-out of all policies, assist in the development of presentation materials
Experience, Skills & Competencies
- Minimum 5-10 years experience
- Minimum of 2-3 years’ managing a team
- Education / certification or equivalent experience Business or Office Administration or equivalent experience
- Advanced working knowledge / high level of proficiency of Microsoft Office programs (Excel, Word, PowerPoint, Outlook)
- Excellent written business communication skills
- High degree of verbal; talking to others to convey information effectively by phone or in person
- Exercises excellent interpersonal skills and demonstrates the ability to work with employees at all levels within and outside the organization in a highly professional manner at all times
- Customer Focused
- Highly organized – excellent administrative management skills; planning and follow-through
- Practical – able to take concept, work with it to develop appropriate reports / communications
- Ability to prioritize, organize workflow to meet deadlines and handle multiple tasks simultaneously, with the flexibility and adaptability to change directions based on changing priorities / requirements
- Diligent with meticulous attention to detail
- Commitment to continuous improvement
