Applications are invited for the position of Executive Assistant to the Vice President, Students, located at the Welland Campus. The salary range is $76,029 to $95,038 for a 35-hour work week. Additional hours may be required as necessary.

Reporting to the Vice President, Students, the successful candidate is responsible for managing the daily workflow and information for the Vice President and for organizing and expediting key action items, ensuring matters are handled promptly, efficiently and with the appropriate degree of confidentiality. The Executive Assistant position plays a critical role in supporting the Vice President, Students and requires a strong ability to manage multiple tasks and competing priorities simultaneously, exercising sound judgement, flexibility, and resourcefulness, in a highly sensitive and confidential environment.

Responsibilities include, but are not limited to:

  • Planning and organizing the daily operations and flow of information within the office of the Vice-President, and cascading information throughout the division.
  • Ensuring optimal scheduling of the Vice President’s calendar including organizing meetings, preparing, and sending correspondence, agendas, minutes, briefings, reports, and other documents.
  • Gathering, researching, and analyzing information/data to prepare a variety of items such as briefing notes, emails, reports, executive summaries, presentations, statistical charts, environmental scans, outcomes, etc. on own initiative, for upcoming deadlines, meetings, and projects.
  • Facilitating communication/liaising and acting as a divisional and college resource to students, staff, faculty, community members/partners, government, and provincial operating groups.
  • Providing administrative support for human resources functions such as absentee reporting and coverage, performance evaluations, hiring requests, and professional development requests.
  • Working collaboratively with members of the Executive Team and their Executive Assistants.
  • Preparing and reconciling expense reports, monitoring of expenditures, and ensuring compliance.

Qualifications:

  • Minimum three (3) year diploma/degree in Office Administration, Business Administration, Communications or in a similar field of study.
  • Minimum seven (7) years’ practical experience in a similar role, providing administrative support to a Senior Management or Executive position.
  • Experience in an academic environment working with Peoplesoft, Sharepoint, and LMS are considered an asset.
  • Proven ability to be resourceful and proactive in anticipating needs and opportunities.
  • Strong analytical, critical thinking and problem-solving skills in a fast-paced environment.
  • Exceptional communication skills, both oral and written with a demonstrated ability in drafting business documents, letters, reports, presentations, and proposals at a senior level.
  • Strong organizational skills with the ability to independently prioritize and handle simultaneous assignments while adapting to changing deadlines and priorities, exercising initiative and good judgement, sensitivity, and confidentiality.
  • Experience coordinating and supporting meetings, committees, special events and activities.
  • Considerable experience preparing, managing, and maintaining budgets.
