SUMMARY:
Provides a range of basic facility and registration support activities for Waterfront Neighbourhood Centre reception and building facility, such as answering phones and directing calls, greeting and directing visitors, performing routine clerical, data entry, and/or word processing, registration, membership and fee processing work. Work is accomplished in strict accordance with established procedural guidelines.
DUTIES AND RESPONSIBILITIES:
1.Provides reception services such as answers telephones, routes calls and pages, takes messages, greets and directs visitors.
2.Answers general enquiries from the public, facility users, program participants; maintains log of inquiries, participates and registrations as required.
3.Maintains and updates files, records other documents. Distributes correspondence and other material to department staff.
4.Copies and/or duplicates materials, oversees the day-to-day operation of the copy machine and facsimiles for the public and/or staff.
5.Performs a variety of routine typing assignments as appropriate to the position, operates personal computer to draft basic correspondence, enter data, and print letters, labels, reports and /or other material, types and mails form letters.
6.May perform specialized services of a routine clerical/administrative nature in strict accordance with established procedural guidelines as appropriate to the position.
7.May assist with ordering, stocking, and distributing office supplies.
8.May run various routine errands, as required for the agency
9.Monitors the operation of the public access computers as per agency policies.
10.Processes registrations and various memberships as appropriate to the position; Routes referrals for room bookings to appropriate department.
11.Processes and reconciles interact, credit card, cheque transactions only and issues receipts and cash handling.
12.Monitors and controls access to the weight room to registered members only; carries out the initial orientation session for weight room users.
13.Monitors and controls access to various areas within the facility, including the open gym on weekends as required.
14.In conjunction with the alternative duty staff, opens and closes the building and sets the security alarm if required.
15.In conjunction with the alternative duty staff administers the Building Fire Plan procedures as required in the event of a fire alarm or emergency and contacts City Security, the Building Manager and/or the Executive Director for direction and/or other emergency personnel as required.
16.Performs miscellaneous job-related duties as assigned.
