The Law Society of BC is seeking a temporary, full-time Intake Administrative Assistant in our Intake & Early Resolution department for a 2-year term. This position provides administrative support to staff lawyers, accountants and paralegals in the Professional Conduct group in the investigation of complaints about lawyers. This position will primarily support the Intake group which includes lawyers and paralegals. This position is responsible for the day-to-day word processing of correspondence, memoranda, opinions and summaries, many of which are deadline oriented. This position also handles telephone calls with members of the public, lawyers and other professionals outside the organization.
The duties of the position include:
- Providing support to the Intake group in opening new complaint and fee mediation files, processing emails received by the Professional Conduct group and processing survey responses.
- Providing support to staff lawyers, and paralegals by proof-reading, formatting and finalizing correspondence, organizing enclosures, photocopying and saving electronic documents to record management system.
- Ensuring electronic complaint file materials are properly named, organized and saved to the Law Society’s electronic record management system, diarizing files for next steps, processing incoming mail and emails, and scheduling meetings.
- Arranging interviews and court reporters, assembling interview material and processing invoices.
- Maintaining the integrity of original documents, including scanning and storing of original documents.
- Independently generating reminder letters and following up on matters for staff lawyers, accountants and paralegals which may include telephone communication with the public or lawyers.
- Formatting opinions for the Discipline Committee’s meetings including assembling and combining electronic attachments to opinions.
- Assisting other Professional Conduct Assistants as required and such other duties as the managers in the Professional Conduct group may require.
Qualifications
- Graduate of legal Administrative Assistant training course or equivalent skills acquired through work experience.
- A minimum of 3 years’ experience in a legal setting performing secretarial and administrative functions, some experience dealing with challenging interactions with people in difficult situations
- Excellent inter-personal and communication skills, a team player, with above average spelling, grammar, punctuation and computer skills.
The salary range for this position is $57,721 to $62,740.
