General Description:
This position involves acting as a Medical Administrative Assistant for an ear, nose, and throat practice to a single ENT surgeon. The location of practice is primarily out of a private office shared between three other surgeons and administrative staffs with spacious individual working areas. There are weekly requirements of working out of the Saint John Regional Hospital ENT outpatient clinic.
Duties:
· Greet and check-in patients, ensuring a positive and welcoming experience
· Schedule and confirm appointments using electronic medical records system (IntraHealth)
· Book surgeries, build OR lists and coordinate with patients and appropriate OR booking staff for days of surgery at multiple hospital sites
· Manage front desk operations, including handling incoming and outgoing mail, maintaining office supplies, and keeping the reception area clean and organized
· Provide administrative support, such as preparing documents, scheduling meetings, and managing calendars
· Answer phone calls and respond to inquiries or direct calls to appropriate staff members
· Maintain patient records and ensure accuracy of information
· Assist with insurance verification (Medicare) and billing processes
· Facilitate patient testing requisitions including bloodwork and imaging
· Coordinate referrals to specialists or other healthcare providers as needed
· Clean clinical tools (eg. endoscopes) and exam rooms between patient interactions
Skill set:
· Previous experience working in a medical or dental office setting including knowledge of medical terminology is preferred but not required
· Proficiency in using electronic medical records systems is preferred (Intrahealth)
· Excellent communication skills, both verbal and written
· Ability to multitask and prioritize tasks in a fast-paced environment
· Detail-oriented with strong organizational skills
· Familiarity with phone systems and ability to handle multiple phone lines
· Must possess strong computer skills including knowledge of Excel and Word applications
· High school diploma or equivalent required; additional certification or training in medical administration is a plus
The hours of work are 8:00 am to 4:00 pm, Monday to Thursday with variable Friday hours typically 8:00 am to 12:00 pm with monthly requirements of 8:00 am to 4:00 pm depending on hospital clinic scheduling. If a consistent 40 hour work week is preferred this can be negotiated.

Salary: $20.00-$23.00 per hour
