Vancouver Island Physiotherapy Clinic is a multidisciplinary health care team with locations in both Ladysmith and Cedar, BC. We are a current team of four office administrators and 6 treating therapists (physiotherapy, chiropractic, acupuncture, and laser therapy). The Office Administration position at Vancouver Island Physiotherapy is a hybrid role for those who enjoy both daily interaction with clients while also assisting our clinic manager to provide leadership and support to our treating staff.
Qualifications for Office Administration:
- 2+ years prior experience working in an administrative role
- 1+ year of Jane App experience preferred
- 1+ year experience with direct billing
- 1+ year experience liaising with ICBC and WorkSafeBC billing
- Exceptional customer service
- Able to delegate tasks as needed and improve team productivity
- Able to provide positive feedback to staff and provide them with tips and strategies to assist in increasing their productivity and reducing errors
Requirements:
- Experience as an Office Administrator
- Leadership skills
- Able to communicate effectively both written and verbal
- Reliable, responsible, and flexible with schedule
- Ability to manage competing priorities
- Ability to navigate conflict in a calm and collaborative way
- Quick learner and ability to solve problems
- Exceptional organization and project management skills
- Experience in managing and collecting account payables
The following is not required but will be a great asset:
- Experience in social media and marketing
Responsibilities and Duties:
- Register patients in Jane App, collect payment, issue receipts
- Have a strong understanding of our professional services, and assist patients with bookings
- Patient scheduling, billing, and claims
- Direct billing to 3rd party insurers
- Answer phone and email queries
- Maintenance of clinic including cleanliness of the clinic
- Processing Medical Records
- Washing and folding of laundry
The Office Administrator may also assist the Clinic Manager in duties which includes:
- To ensure that clinic operations are efficient, professional and organized
- To provide support and mentorship to the administrative team, therapists and clients
- Plan scheduling of staff and shift coverage, ensuring staffing requirements meet demand levels
- Assist in the hiring process of office admins
- Provide training and orientation of new staff members
- Assigning and delegating appropriate tasks to staff
- Manage the clinic’s inventory
- Develop protocols and procedures to improve our current operations and staff productivity
- Managing and collecting account receivables
