```Job Overview:
We are seeking an organized and detail-oriented Office Administrator to join our team. The Office Administrator will be responsible for managing the day-to-day administrative tasks of the office, ensuring smooth operations and efficient workflow. This position requires excellent communication skills, attention to detail, and the ability to multitask effectively. This is a fast paced office , with few staff.
Duties:
- Answering phone calls/ e mails and directing them to the appropriate staff members
- Greeting visitors/ customers/ delivery drivers and providing them with necessary information
- Managing incoming and outgoing mail and packages
- Maintaining office supplies inventory and placing and receiving orders , taking inventory
- Assisting with scheduling appointments and meetings
- Handling basic bookkeeping tasks, such as invoicing /monthly statements and ticket tracking.
- Organizing and maintaining physical and digital files, logging reports, updating MSDS material.
-Making inspection books, prepping training material.
- Assisting with editing and proofreading documents for accuracy and clarity
- Providing general administrative support to staff members as needed. Delivering supplies to site or picking up tickets or purchase orders as needed.
Requirements:
- Previous experience working in an office environment preferred
- Familiarity with phone systems and basic office equipment
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Proficiency in using Google 360 , Quickbooks online and windows 11 is a plus.
- Ability to type accurately and efficiently
- Bookkeeping office procedures is a plus
- Ability to maintain confidentiality of sensitive information
