APW is seeking a highly organized and detail-oriented Office Administrator to join our team. You will be working in our office performing bookkeeping duties, answering phone calls, scheduling jobs, and various administrative tasks.
Candidate Requirements:
A valid driver's license and insurable to be able to drive company vehicles.
Must have reliable transportation to the office located in Lantzville BC.
Some locations are secure and therefore a valid ID is required.
Ability to pass a criminal record check.
Must have strong computer skills
Must have strong communications skills in both written and verbal
Preferred experience:
Microsoft office including excel and word
Software experience
EOS or dispatch experience
Duties and Responsibilities: (Include but are not limited to)
- All aspects of job scheduling including confirmation/cancellation calls and emails to customers, coordinating with field crews, preparing documents, maintaining computer notes, etc.
- Responsible for taking incoming calls for all departments within the company
- Ensure all calls are logged and tasked for action and followed-up by the appropriate person/department
- Welcome clients & staff in a friendly and inviting manner
- Assist the technicians in preparing for jobs and clients in receiving service
- Ensure all aspects of service delivery are complete from scheduling to quality control in order to achieve the best level of customer experience possible
- Maintain communication with all stakeholders
- Ongoing industry training & education as required
- Other action to keep our business moving forward
- Performing general clerical duties, such as filing, photocopying, and scanning documents
- Maintaining office supplies inventory and placing orders when necessary
- Assisting with human resources tasks, such as maintaining employee records and assisting with onboarding processes
Requirements
- Knowledgeable with computers, excel, basic internet and social media, phone systems. Ability to learn new software.
- Adaptable to all conditions while maintaining a presentable and professional appearance.
- Personable and inviting outgoing nature
- Ability to multi-task and dance simultaneously :-)
- A reliable and honest individual with a strong work ethic
- A driver’s license and a car are necessary
- Action-oriented, solution focused and willing to be part of a growing and enthusiastic team
- Familiarity with phone systems and phone etiquette
- Excellent communication skills, both verbal and written
- Attention to detail and accuracy in completing administrative tasks
- Ability to maintain confidentiality of sensitive information
Job Type: Full-time - Monday - Friday 9am-5pm
Office located in Lantzville
Salary: $20.00-$24.00 per hour
Compensation:
Full time compensation based on ability and experience including full benefits
