We are seeking a detail-oriented and organized individual to join our team as an Office Manager. As the Office Manager, you will be responsible taking charge of administrative tasks, managing data entry, and handling bookkeeping responsibilities. Duties:
- Coordinate and perform administrative duties, including managing correspondence, scheduling appointments, and maintaining filing systems.
- Conduct accurate data entry tasks, ensuring the integrity and confidentiality of all information.
- Manage basic bookkeeping tasks, such as preparing invoices, processing payments, and tracking expenses.
- Serve as the primary point of contact for external vendors and service providers, particularly in relation to finance and office maintenance matters.
- Dispatching service tickets for ATMs.
- Support HR functions by assisting in payroll processing and maintaining employee records.
- Implement and improve administrative systems and policies to enhance office operations.
- Contribute to team efforts by accomplishing related tasks as needed, ensuring the smooth and efficient running of the office.
Skills:
- Proven experience in administrative roles with responsibilities in data entry and bookkeeping.
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- High level of accuracy and attention to detail, particularly in data entry and financial tasks.
- Excellent communication and interpersonal skills.
- Bilingual (French and English)
- Proficiency in MS Office, with exceptional skills in Excel, and experience with accounting software.
- Proficiency in Zoho One, and Zoho CRM an asset.
- Knowledge of administrative procedures, bookkeeping principles, and basic accounting.
- A minimum of a high school diploma; additional certification in Office Administration, Bookkeeping, or a related field is preferred.
- Strong clerical skills, including typing and data entry
- Ability to learn new software systems quickly
- Excellent attention to detail and accuracy
- Strong organizational skills to manage multiple tasks effectively
- Ability to communicate effectively, both verbally and in writing
- Professional phone etiquette when interacting with internal and external stakeholders
- Experience in vendor management or front desk operations is a plus
- Familiarity with human resources processes is a plus
- Must be able to pass a criminal and credit background check.
