*Job description*
We currently have a full-time position available for an Office Manager at our Woodstock location.
The Office Manager is responsible for managing the day-to-day operations and financial requirements of the dealership. This position will work closely with the General Manager and other departments.
Responsibilities and requirements:
- Oversee and manage the day-to-day operations of the office
- Assist with the preparation of financial statements monthly according to dealership guidelines and the manufacturer’s format and timeframe
- Controls all posted documents, including time records, vehicle deals, commissions, and additions and changes to inventory
- Oversees, reviews, supervises and approves daily bank deposit and cash reports
- Reconciles select accounts monthly, prints monthly journals, schedules, and general ledger
- Review general ledger and scheduled accounts, investigating any unusual activity
- Reviews the reconciliation of general ledger accounts with outside sources to ensure proper bank reconciliation, reserve accounts, factory payable, and floor plan payable
- Ensures compliance with all applicable manufacturer and government finance regulations, including filing and/ or maintaining required forms, payroll taxes, and deposits, income taxes, retirement plan records, etc.
- Maintains a very high level of ethics and confidentiality
- Collaborate with other departments to streamline processes and improve overall efficiency
- Supervise administrative staff and provide guidance and support as needed
- Recruit, interview, hire, and train general office personnel as necessary
Qualifications:
- Proven experience as an Office Manager or similar role
- Dealership experience required
- Strong knowledge of financial concepts, including payroll, budgeting, and financial report writing
- Familiarity with corporate accounting principles, general ledger accounting, account reconciliation, technical accounting, and public accounting practices
- Excellent organizational and multitasking skills
- Ability to prioritize tasks and meet deadlines
- Strong attention to detail and accuracy
- Effective communication skills, both written and verbal
- Strong problem-solving skills
Schedule:
- 8-hour shift
- Monday to Friday
- Weekend availability
