Job Summary:
We are actively seeking a dedicated and organized Office Assistant who demonstrates the potential and drive to advance to the role of Project Coordinator Assistant. This position will involve providing comprehensive administrative support and contributing to the smooth functioning of our office. Responsibilities
Administrative Support:
- Assist in general office tasks, including filing, data entry, and document preparation.
- Manage incoming calls, emails, and correspondence, redirecting and responding as needed.
- Coordinate appointments, scheduling and meetings for team members.
Office Support:
- Maintain a well-organized and welcoming office environment.
- Monitor and replenish office supplies, ensuring all equipment is in working order.
- Collaborate with different departments to streamline office processes and enhance productivity.
Communication:
- Serve as a liaison between departments, clients, and external partners.
- Effectively communicate messages, requests, and updates to team members.
- Draft and proofread internal and external communications.
Record Keeping:
- Maintain accurate records, including employee information, office expenses, and documentation.
- Prepare and organize documents for meetings, presentations, and reports.
Customer Service:
- Provide excellent customer service to visitors, clients, and colleagues.
- Handle inquiries and direct individuals to the appropriate personnel as needed.
Skills and Qualifications
Organizational Skills:
- Strong multitasking abilities with an emphasis on task prioritization.
