About the position
The main responsibilities of the Office Assistant / Administrator are to answer and redirect all incoming phone calls in a timely manner, greet visitors to the office and direct them to the appropriate area, assist with general office management tasks and to provide the office with administrative support.
Regular business hours, typically weekdays 8:00am until 5:00pm or as directed, located out of 67 Brown’s Line, Etobicoke, ON.
How you’ll contribute:
The role is integral to ensuring both internal and external client needs are addressed and supported in a timely manner, including but not limited to:
- Answer all incoming calls, screening, and routing as required, taking, and delivering messages as necessary.
- Monitor the arrival and presence of visitors to the facility and premises, granting access and directing guests as appropriate.
- Arrange and book travel as required for staff, seeking appropriate approvals.
- Assist in completion of staff expense reports.
- Assist General Manager, Eastern Canada, in planning and executing staff social events.
- Maintain a shared calendar of all meetings, meeting rooms, events, travel, vacations, etc.
- Responsible for the sorting and processing of outgoing and incoming mail and faxes, arranging, receiving, and shipping of packages and small courier shipments.
- Provide administrative support to divisional operations and other corporate departments when requested.
- Maintain cleanliness of office and kitchen environments, oversee stocking and ordering of office and kitchen supplies, obtaining all necessary approvals.
- Prepare and maintain fresh coffee in staff and customer lounge areas.
- Carry out all other reasonable duties as assigned.
What you’ll need to succeed
- High school graduation or equivalent
- Relevant experience in a position of similar responsibility
- Excellent oral and written communication skills, and collaborating with staff and clients in a professional manner
- Working knowledge of office equipment including Computers and Photocopiers
- Working Knowledge of Microsoft Office, including Outlook, Word, and Excel
- Exercise discretion, tact, and judgement in handling confidential and sensitive information
- Attention to detail and a high level of accuracy
- Proven ability to problem-solve, meet deadlines, and handle changing priorities
- Excellent planning, organizational and follow-up skills
- Ability to work well independently
- Ability to build relationships and knowledge of local vendors (e.g., food trucks, restaurants, travel amenities, etc.)
