Position Summary
This position is a full time position to cover for a maternity leave for approximately 12 months.
The Operations Administrator is responsible for supporting DGA Careers and its sister companies. The Administrator is responsible for assisting the President, the entire team, clients and candidates in day-to-day operations administration.
This position includes a competitive salary and an opportunity to gain experience in administrative, marketing, human resources and customer service skills.
Essential Duties and Responsibilities
The duties and responsibilities outlined below are representative but not all-inclusive:
Administration and Reception
- Provides reception support, such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative challenges and inquiries
- Assists and directs visitors, provides customer service and resolves administrative inquiries
- Sorts, screens, reviews, and distributes incoming and outgoing mail; composes, prepares and ensures timely responses to a variety of routine written inquiries
- Assists in filing, faxing, and data entry
- Manage inventory for the office and order supplies as needed
- Coordinate overall upkeep of office functionality
- Coordinate travel arrangements for management and staff
- Address employee queries regarding office management issues (e.g. stationery and hardware)
- Liaise with facility management vendors, including cleaning, catering and security services
- Plan in-house or off-site activities, like parties, celebrations and conferences
- Performs miscellaneous job-related duties as assigned
Human Resources
- Manage staff vacation schedule
- Update the database as needed
- Schedule and co-ordinate interviews for in-house and client meetings
- Post and monitor jobs on various advertising venues
- Complete onboarding and exit tasks for employees
Marketing/Social Media
- Create daily social media posts for Collins Recruitment Group, DGA Careers and Insuranceworks.ca, Crawford Connect and post on various sites.
- Create and distribute monthly e-newsletter campaigns (Career Coach, Research and Insights, Jobs newsletter and Employee Times for DGA, Job Seeker and Employer newsletters for InsuranceWorks)
IT
- Help employees with any technical issue they’re having with their computers
- Set up new hires with equipment and appropriate access to the company’s system
Requirements
Education:
- Education related to business administration or office management
Experience:
- Preferred 1+ years of experience in a similar role

- Word processing and data entry skills; preferably in Microsoft Word and Excel
- Takes on initiative and has a ‘can-do’ attitude

Schedule:
DGA Careers office hours are from 8:30am - 5:00pm
