Job Title: Order Entry Specialist
Reports to: Customer Service Supervisor
JOB OBJECTIVE:
- Responsible for the Order Entry and processing of distribution and production purchase orders. Ensure that orders are released on time, assure customer requirements are met, and adhere to Moltec's ISO standards. Duties will be completed on site within the Oakville facility, and upon approval employees can participate in Moltec's hybrid remote work program.
Responsibilities:
- Accurately enter and process customers' purchase orders according to specified customer requirements.
- Prioritize the time of entry for purchase orders to meet customer requirements and delivery schedules specified.
- Ensure customers' purchase orders are confirmed and acknowledged daily, entered accurately, and according to the Order Entry process.
- Strong communication is required with customers using email and phone.
- Enter and accurately document sample requests from CSR's, outsides sales reps, and customers and ensures they are processed accurately and according to special instructions provided.
- Effectively communicate discrepancies, revisions, and status of customer purchase orders to all stakeholders.
- Communicates directly with warehouse personnel to ensure product availability and inventory accuracy.
- Oversee customer expedite requests including communication to procurement and distribution, and following up until the product has been shipped according to customers' requirements.
- Consistently adhere to the sales processing procedures, work instructions and reference documents outlined by ISO standards.
- Data entry including customer account, contract individual pricing etc.
- Document filing and archiving
- Other duties and responsibilities as required to support Customer Service Department
- Accuracy, attention to detail, multitasking, and consistency are required to assure customers' purchase orders are input correctly.
- Provides constant and timely communication regarding customers' purchase order changes with special emphasis on revised delivery dates, expedites, and revisions to the customer service department, sales department and customers
- Works hard and diligently to adhere to all performance metrics. Adheres to all company policies, procedures, and business ethic codes.

- Communicates effectively and in an ongoing manner with all relevant internal parties, including, but not limited to Distribution, Purchasing, Engineering, Outside Sales, Marketing, and Customer Service departments

- Maintains contact with customer accounts and outside sales representatives to ensure a high level of customer satisfaction

Job Specifications:
EDUCATION:
College Diploma preferred
High School Diploma minimum
EXPERIENCE:
3-4 years of data entry experience. (An efficient combination of speed and accuracy)
3-4 years of customer service experience would be an asset
Experience with MS Office suite software
Experience with Syspro ERP an asset
KNOWLEDGE/ SKILLS:
- Dependable and punctual with an excellent attendance record.
- Excellent verbal & written communication skills.
- Ability to work well under pressure, multi-task, and meet deadlines.
- Must possess strong time management and organizational skills with great attention to detail.
- Working knowledge of the internet, websites, and email usage.
- Computer literate and proficient with Microsoft Office.
- Ability to work from home if required
