SUMMARY
Administrative Assistant responsible for all general office duties that consist of answering all incoming calls, mail, faxes etc, greeting clients, responding to inquiries, filing, data entry, assisting customer service representatives with daily duties and otherwise relieving managers of clerical work, administrative and business details by performing the following duties:
ESSENTIAL DUTIES AND RESPONSIBILITIES including, but not limited to the following:
- Reading and routing incoming mail. Locating and attaching appropriate files to correspondence to be answered by employer
- Responding to general customer inquiries by preferred methods
- Data entry of final production counts into proprietary CRM system to facilitate customer invoicing
- Organizing and maintaining file systems, and filing correspondence and other records
- Telephone and voicemail system administration
- Answering and screening telephone calls, transferring, paging and/or locating staff as inquiries demand
- Greeting scheduled visitors
- Copying correspondence or other printed materials
- Preparing incoming and outgoing mail and correspondence, including e-mail, faxes and courier
- Ordering and maintaining office supplies and arranging for office equipment maintenance
- Assisting Customer Service Representatives with daily tasks to accelerate response to customers
- Assuming responsibility for some customer accounts as designated, with more specific weighting to finishing and bindery services
- Talking with customers by phone, email or in person and receiving orders for company services
- Data entry as required to maintain our own customer database and customer-supplied databases
- All other related duties
SKILLS
- Above average communication and organization skills.
- Strong ability to handle multiple projects and tight deadlines.
- Working knowledge of the Microsoft Office suite of products.
- Ability to effectively present information and respond to questions from managers, staff and customers.
- Pleasant, genuine and approachable personality.
EDUCATION and/or EXPERIENCE
Solid computer skills and a good knowledge of Microsoft Office are required.
Any experience in printing, direct mail and finishing/bindery services are beneficial.
