Job description

The Citadel Theatre, one of Canada’s largest and busiest professional, not-for-profit theatre companies and facilities, is currently seeking a Payroll Specialist to join our team. Reporting to the Director of Finance, and working in partnership with the Human Resources Manager, the Payroll Specialist will be responsible for overseeing and administering the Citadel Theatre’s weekly and bi-weekly payroll. The primary responsibility of this position is to ensure that all employees within an organization are paid on time and correctly, and to ensure compliance with payroll regulations and supporting the overall success of the organization.

KEY ACCOUNTABILITIES:

  • Full cycle payroll for union and non-union staff, including maintaining a weekly and bi-weekly payroll schedule.
  • Interpreting and applying union contracts and updating increases in accordance with Collective Agreements.
  • Process all time data entry and review for compliance and accuracy.
  • Oversee end-to-end payroll activities, including payroll data entry, verification, calculations, and reconciliation.
  • Input onboarding paperwork, changes in compensation rates, and termination from the system.
  • Support payroll activities in accordance with governing bodies and provincial standards and legislation.
  • Maintain payroll files in an accurate and comprehensive filing system.
  • Review and analyze payroll data for accuracy and resolve discrepancies or issues in collaboration with relevant stakeholders.
  • Develop and maintain payroll policies, procedures, and documentation to ensure consistent and standardized payroll processes.
  • Prepare and distribute payroll reports and summaries to relevant stakeholders, including management, HR, and finance.
  • Respond to payroll inquiries and audits with the highest attention to customer service and professionalism.
  • Assist in implementation of new payroll systems and processes.
  • Performs periodic audits of Payroll files and records to ensure that all required documents are collected and filed appropriately.
  • Other duties as required.

Required Qualifications

  • Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field of study.
  • Experience: 4 years of experience in a comprehensive payroll position.
  • Skills:
  • In-depth knowledge of payroll regulations, tax laws, and employment standards.
  • Proficiency using payroll software and systems.
  • Strong communication and problem-solving skills.

Desired Qualifications

  • Certification or training in payroll administration (e.g., Certified Payroll Professional – CPP)
  • Experience with Sage 300 or other payroll management systems.

HOW TO APPLY
