We are currently seeking a Pharmacy Assistant/ Customer Service Repto join our team in Hamilton, ON.
HOURS: MON-FRI- 8AM-4PM, 9AM-5PM, 12PM-8PM, 1PM-9PM + SAT-SUN and Holidays- 8:30AM-8:30PM
JOB DESCRIPTION
The Pharmacy Assistant is responsible for all administrative duties related to the scheduling and dispensing of medications. The Pharmacy Assistant communicates with doctors, nurses, homecare and patients to ensure adequate quantities of medication are dispensed at the times necessary for continued patient care. The Pharmacy Assistant coordinates relevant information with the customer service, shipping, warehouse and finance departments regarding medication dispensing and appropriate billing.
The Pharmacy Assistant plays a pivotal role in the co-ordination of internal and external communications to ensure patient medications are provided on a timely basis. This includes continued monitoring of medication use, patient eligibility, and billing accuracy.
PRINCIPAL ACCOUNTABILITIES
1. Adherence to Calea’s commitment to, and policy on “Patient Safety”
2. Adherence to corporate, regulatory and individual responsibilities supporting Calea’s Quality Management Program, supporting policies, procedures, work instructions, and software (QSi).
Adherence to corporate and individual responsibilities to health and safety in the workplace.
3. Enters all prescription orders into the computer systems and generates all worksheets and labels to ensure that the production schedule is optimized according to SOPs. Enters and prints production in advance.
4. Ensures 100% accurate collation of production documents according to SOPs.
5. Enters TPN and TPN changes into computer system. Prints and label checks all TPN up for production. Responsible for the completion of Simplicity system billing for TPN.
6. Responsible for dispensing all oral medications.
7. Responsible for calling patients to set up medication delivery times.
8. Responsible for making all calls to doctors to acquire reorders on medications (I.V. or orals).
9. Responsible for answering all pharmacy telephone calls. The Pharmacy Assistant deals with calls within their scope of knowledge and only transfers those calls to the pharmacists when it requires their expertise.
10. Responsible for receiving and signing out narcotic drugs with the pharmacists.
11. Schedules production for all I.V. medication.
12. Responsible for setting up patient payment options for medications.
13. Responsible for programming CADD pumps.
14. Monitors EDI and Fax for the receipt of priority orders.
15. Assists pharmacists and other pharmacy staff in identifying orders that pose “geographic challenges” to delivery.
16. Monitors relevant screens in Monarch to confirm the status of progress of orders in the pharmacy of department.
17. Investigates and intervenes in situations that may lead to potential late deliveries.
18. Liaise with operations (i.e. warehouse and shipping) to expedite high priority deliveries.
19. Perform ODB drug billings and reconciliations to ensure proper payment is obtained for medication orders in a timely fashion
20. Print and balance accepted claims reports from Monarch and Simplicity on a daily basis
21. Perform resubmission of online rejected claims throughout the day
22. Contact LHIN for missing drug cards and extending expired drug cards
23. Participates in departmental quality improvement initiatives.
24. Responsible for understanding and adhering to Calea’s patient safety policies and procedures.
25. Maintain up-to-date training designated for this position via QSi
WORKING CONDITIONS
Generally comfortable office environment, some physical lifting of boxes (labels, bags, boxes of medications)
under 20lbs is required.
Some time is spent in the refrigerator on a daily basis checking unsuccessful drug deliveries and determining
batch quantities.
QUALIFICATIONS
- Pharmacy Assistant Certificate and relevant pharmacy experience.
- Pharmacy Technician certification from OCP an asset
- Excellent organizational skills with attention to detail
- Ability to handle multiple demands made simultaneously under short time constraints.
- Able to work individually or in a group setting
- Flexible and adaptable to changes of responsibility reflective of the business needs
