Project Coordinator (Maternity Leave Contract)

The Project Coordinator will work with /assist Project Managers and the Director of Project Management to successfully manage and execute various supportive project tasks throughout the lifecycle of projects. Reporting to the Director of Project Management, in Winnipeg, the Project Coordinator ensures all contracted work is executed in accordance with departmental requirements.

This is a maternity leave contract expected to extend until January 31, 2025.

Key Responsibilities

To assist Project Managers with various Project Management Information System and PM tasks

  • Epicor – entering new projects in Contract Entry, APM Entry, Sales Orders, Manufacturing Jobs, Phase Jobs, Change Orders, entering Budget adjustments, reviewing costing issues/discrepancies.
  • Smartsheets - entering high level entries in schedule, scope, and ship trackers.
  • Excel - Projection sheets setup, data transfer, billing milestones.
  • Other - PM documents, as required, site maps, O&M scheduling, training presentation management, project folder close out – including reviewing all key documents present, folder housekeeping, generate meeting minutes.
  • General – Act as intermediary between other departments, as required; customer billing follow up, installation documentation, startup documentation, etc.
  • Source subcontractors, and conduct follow ups for billing, safety paperwork, etc.
  • Site follow up with operators post startup in preparation for handover to Applications.
  • Warranty follow ups where possible, between site and Nexom team, internal requests.

Assist the Director of Project Management with updating various PMIS and PM Tools and other misc tasks.

  • Epicor procedures, Pilot testing, facilitating reports/BAQs.
  • Smartsheet improvements/updates, creating automations, etc.
  • PM documents – templating common email communications, instructions, etc.
  • Retrieving high level information from imminent projects in the pipeline to facilitate forecasting of future materials and cog projections.
  • PM task tracking through use of various PMIS tools.
  • Providing/retrieving project data as required.

Qualifications

  • Self-driven, adaptable, and highly motivated, conduct themselves with diplomacy.
  • Professional written and verbal communication and interpersonal skills.
  • Strong ability to multi-task, and work under pressure.
  • Willingness to learn and train, dependable and consistent with efforts.
  • General proficiency utilizing MS Office software applications such as Word, Excel and Outlook.
  • Strong organizational and time management skills.
  • Ability to work well within a Team environment with minimal supervision
