We are currently accepting applications for a Property Services Assistant to join our Property Management Team in Nanaimo, BC. The Property Services Assistant is responsible for the leasing and administrative duties for our rental properties under the direction of the Property Manager. What you will be doing:
- Responsible for all regular cleaning and minor maintenance requests;
- Address all cleaning and maintenance deficiencies immediately, reporting any major damage or repairs to the Property Manager to hire a contractor;
- Enforce rules, regulations and policies at the property;
- Foster a friendly and professional environment for residents, prospects, service providers and contractors, while maintaining a high level of customer service;
- Provides exceptional customer service and ensures calls and messages are answered and responded to in a timely manner. Resident issues and service requests are addressed within 24 hours;
- Show available suites to prospective residents and maintain unit rental levels;
- Assists Property Manager with move-ins and move-outs;
- Ensure proper physical maintenance of the building and surrounding property by doing regular inspections using the approved checklists, maintaining the health and safety of the building;
- Coordinates all building access control for tenants and contractors as needed;
- Maintains and updates the Fire Safety Plan and conducts regular monthly building inspection;
- Coordinate activities of the on-site cleaners, and perform minor/regular daily cleaning tasks as needed;
- Other clerical office duties that may arise;
- Afterhours on call rotation as required and availability to respond to emergencies.
What you need to bring:
- 1-3 years’ experience in multi-residential property management;
- Completion of High School Diploma;
- Working knowledge of MS Word and Excel is required, previous experience with Buildum is an asset;
- Knowledge and experience working with Landlord Tenant Act;
- Knowledge and experience in building operations, building safety and fire safety requirements;
- Exceptional customer service skills. Ability to handle difficult tenant relations and contractor relationships with a high degree of professionalism;
- Clear and effective written and spoken communication skills;
- Strong prioritization skills with the ability to work independently and meet deadlines;
- Ability to think creatively when problem solving, proactively adapting to challenges;
- A high degree of professionalism and ability to maintain confidentiality.
