Summary:
The Southern First Nations Network of Care (SFNNC) receives its mandate from the First Nations in southern Manitoba and through the Child and Family Services Authorities Act. The SFNNC, along with the other three CFS Authorities in Manitoba, are responsible for the establishment and management of a province-wide service delivery system. This includes ensuring that services are delivered to southern First Nations citizens throughout the province as well as families who choose the SFNNC though an ADP. Services and resources will align with community needs and activities will be focused on prevention rather than crisis management. The SFNNC’s vision is for First Nations children, families, and communities to be healthy, strong, and empowered by ensuring their protection through the provision of safe homes with responsible caregivers and the promotion of wellness in strengthened families and communities.
Reporting to the Quality Assurance Manager of the Southern First Nations Network of Care, the incumbent is responsible for providing daily administrative support to Quality Assurance and other departments as needed. Duties include data entry, screening, and responding to emails, phone calls, and mail. Must have awareness and knowledge of the roles and responsibilities of Child Welfare in Manitoba as well as experience with administrative duties.
Responsibilities:
General Office Duties
· Assists Quality Assurance staff to gather and compile file review data for final reports
· Inputs and maintains data in program tracking sheets (critical incident reports, recommendations)
· Types memos, agendas, minutes, and letters or correspondence as requested
· Appropriately manages files and confidential documentation
· Coordinates meetings and travel arrangements as required
· CFSIS data entry
· Daily use of computers and programs such as Word, Outlook, Excel, PowerPoint, and Teams
· Carries out fax, copy, or print duties
· Provides fill-in or backup support to all departments on an as needed basis
· Provides coverage for the reception desk
Screening and responding to emails, phone calls, and mail
· Receives and screens telephone calls, mail, and emails
· Assists with questions and problems courteously and promptly
· Obtains and conveys information as needed
· Performs other duties as assigned
Qualifications:
· High school graduate or equivalent; post-secondary education or related training preferred
· Demonstrated experience in providing administrative support to management
· Ability to work at an intermediate level in MS Office, including Word, PowerPoint, Excel, Outlook, and Team, as well as knowledge of how to navigate a web browser
· Experience and/or training in the Child and Family Service Information System (CFSIS) and the Intake Module (IM) or the ability to gain a basic working knowledge within 6 months
· Keyboarding skills at a minimum of 50 wpm
· Ability to operate standard business equipment including fax, photocopier/printer, etc
· Must be attentive to detail while meeting deadlines with the ability to prioritize multiple tasks
· Must possess excellent organizational, interpersonal, and written/oral communication skills
· Must be able to work independently and under pressure
· Must have the ability to read and respond to sensitive material
· Must be a team player, challenged by working in an environment of change, and a believer in excellence
· Must be committed to the aspirations of First Nations to restore jurisdiction for CFS
· Must have a demonstrated understanding of Indigenous culture and traditions
Other Requirements:
· Must provide a current and satisfactory Criminal Record Check with vulnerable sector search and a current and clear Child Abuse Registry Check
Salary range offered will be commensurate with individuals’ experience/competencies.
