We are growing and looking to expand our team.
We are looking for a Reception - Sales Administrator to help us educate our patients, book appointments, and in turn, exceed our sales & booking goals.
- This person will be the first point of contact for our patients in a customer service setting, therefore it is important that our successful applicant has a pleasant personality. This person will ensure patients have been given accurate information and are booked for the correct services.
We're seeking someone passionate about helping others while sharing their knowledge to educate the difference the Vivid Eye Care Experience makes for our patients. Our ideal candidate will have self-confidence, motivation for sales, and the drive to develop and maintain service/product knowledge. This person will thrive off creating and maintaining client relationships.
Role:
● Answer multi-line phone system, direct incoming calls to other staff as required
● Coordinate online reception including webforms, our online booking software and Live Chat
● Educate callers during booking of our processes, procedures, fees, etc, therefore selling our services over the phone
● Contribute to team effort by offering administrative support across the business and accomplishing related tasks as needed
● Triage and handle priority/emergency situations in a timely & effective manner
● Develop and maintain relationships with customers by responding to voicemails and emails
● As our clinic is open evenings and weekends, flexibility for scheduling is required
● Long term goals include, but are not limited to:
- Develop scripting and sales procedures consistent with the Vivid Eye Care brand
- Monitor competition by gathering current marketplace information on pricing and merchandising techniques
- Prevents customer complaints by investigating problems, developing solutions, preparing reports, and making recommendations to management
- Submits activity/results reports, such as daily call reports, weekly work plans, and monthly updates to management team

Skills & Qualifications:
● Minimum 2 years customer service experience. Optometry experience/knowledge considered an asset
● Minimum 2 years’ sales experience, preferably in retail a retail setting. Luxury retail experience considered an asset
● Intermediate skill with computer programs, such as Outlook and Microsoft Office Suite.
● Ability to learn new software (EMR programs)
● Meeting sales goals, closing skills
● Excellent time management skills
● Ability to multitask and the ability to juggle multi-line phone system while making each caller feel comfortable and understood
● Strong verbal & written communication skills
