Job description

We’re hiring a Reservations Coordinator to join the Sonora Resort team from our head offices in Richmond, British Columbia.
Sonora Resort is a luxury all-inclusive Relais & Chateaux Resort, nestled in the Discovery islands in the unspoiled wilderness of British Columbia. This is a Seasonal position that works from our administrative offices in Richmond, BC, from approximately February 5th to September 15th, 2024.

Position Summary
The Reservations Coordinator is responsible for supporting the Reservations and Sales departments to maximize guest satisfaction, operational efficiency, and revenue. In addition, the Reservations Coordinator is responsible for handling reservations, including entering data in the property management system (PMS), producing invoices, scheduling transportation and activities, and maintaining a payment log. They are also responsible for other Head Office administrative tasks including fulfilling orders from our online gift shop.
Job Duties
  • Creating invoices in the PMS matching the quotation provided by Sales Department
  • Building an itinerary for requested activities as per the guest's choices
  • Booking activities into central schedules
  • Scheduling transportation for guests to and from the resort
  • Generating transport manifests to provide to the resort and transportation partners
  • Occasional guest interactions required (in person, over the phone and by email)
  • Must uphold guest confidentiality, privacy and security and hold it in the highest regard.
  • Maintain a high standard of professionalism and ethics, and contribute a positive attitude to the head office atmosphere.
  • Be aware of and promote safety standards to ensure employee health and safety.
Qualifications
  • Must be fluent in English, second language an asset.
  • Applicant must be legally eligible to work in Canada. We are unable to assist in obtaining work authorization at this time.
  • One (1) year of experience in Front Office/Reservations or similar settings preferred.
  • Experience using a property management system (Preferably Opera/Oracle) is an asset
  • High School diploma required. Post-secondary education in a business, tourism or marketing related field preferred.
  • Must possess excellent organization and time management skills with the ability to multitask and meet deadlines under pressure
  • Strong administrative skills, writing, filing, tracking, organizing and phone etiquette.
  • Ability to enter data quickly and accurately. Attention to detail is essential.
  • Excellent communication skills; able to listen, understand, clarify and confirm.
  • A desire to contribute innovative ideas towards the ongoing improvement of the Sales & Reservations process and the Resort as a whole.
  • Demonstrated ability to use Microsoft Office Suite including Word, Excel and Outlook, and web-based collaborative platforms such as Sharepoint.
