POSITION SUMMARY
Assist with daily administrative duties.
DUTIES AND RESPONSIBILITIES (not listed in order of priority)
1. Process and distribute daily incoming Department mail (invoices and a variety of other correspondence).
2. Perform other general administrative tasks such as scanning, filing, photocopying, preparing correspondence.
3. Assist with event planning and administration (ie. Simcoe County Conference, Warden’s Gala, Warden’s Golf Tournament).
4. Creation of Excel spreadsheets with thorough knowledge of Excel functions including linking, formulas and data entry.
5. Monitoring of electronic mailboxes and phones.
6. Attend certain events as required and assist in public relations.
7. Reconcile and process conference attendance claims for Warden and County Councillors for submission to Finance.
8. Provide assistance to Service Simcoe Department as required.
9. Perform other duties as assigned.
10. Comply with Provincial and County occupational health and safety legislation, regulations, policies and procedures.
11. Maintain confidentiality in accordance with the Municipal Freedom of Information and Protection of Privacy Act.
EDUCATION, TECHNICAL SKILLS AND CERTIFICATION
- Must be a registered full-time post-secondary student during the preceding academic year and be returning to school in a technical program on a full-time basis in the next academic year.
- Must have completed a criminal reference check from within the last 6 months.
- Enrollment in a Business Administration Program or equivalent.
- Excellent writing, communication and organizational skills are a must.
EXPERIENCE
- Experience working in a Windows environment is required.
- Software experience with Windows XP, MS Office, including Excel, Word and SharePoint and Internet applications.
- Experience working with ACTIVENet is considered an asset.
EFFORT
- Visual and mental effort required when working on documents.
- Will also require some lifting of materials and set-up and take down at special events.
WORKING CONDITIONS
- Ability to assist with events outside of normal working hours.
- Some events may take place outdoors.
- Travel within the County of Simcoe may be required.
