DEFINITION:
Under the direction of the Deputy Director of Finance, performs a variety of accounting and clerical duties to maintain the Accounts Payable function, as well as office overload and support for the Finance Department and other City departments as required.
EXAMPLES OF WORK PERFORMED:
- Process Accounts Payable invoices and payments; including cheque preparation;
- Record, sort, process, and reconcile purchase orders;
- Reconcile vendor statements;
- Deal with problem invoices and statements, including all related correspondence;
- Answer switchboard and assist reception with counter coverage;
- Run various reports, as required;
- Research and report on trends, history, etc.;
- Verify coding of invoices and authorization;
- Prepare journal entries;
- Deal with public in a friendly, proficient, and efficient manner;
- Reconcile accounts, including travel expenses, public bodies reports, accruals, payroll bank, sales tax, credit card coordination, etc.;
- Open/close building daily;
- Post journal entries (including the monthly IVC Journal Vouchers and daily synoptic from Leisure Services);
- Post mail daily;
- Provide office assistance and relief, as required;
- Assist Payroll Clerk with daily timecard entry, as required;
- Process accounts receivable billings, as required;
- Other related duties, as required.
MINIMUM TRAINING AND EXPERIENCE:
- Secondary school graduation;
- Accounting certificate or diploma;
- Minimum of three years' related work experience, including Accounts Payable, payroll, and bookkeeping;
- Computer experience, preferably in a Windows environment using Vadim, Word and Excel;
- Familiarity with general ledger accounts and the demonstrated ability to reconcile;
- Accurate data processing skills ? both keyboard and calculator;
- Accurate typing speed of 50 wpm;
- Ability to work independently and to accomplish tasks and assignments;
- Ability to deal effectively with co-workers, contractors and the public;
- Good written and oral communication skills;
- Valid Class 5 BC Driver's License.
