At this time, the Halifax Port Authority ("HPA") requires:

Accounts Payable Clerk

Reporting directly to the Manager, Accounting, the Accounts Payable Clerk is responsible for processing Accounts Payable and performing general clerical duties.

ACCOUNTABILITIES

Accounts Payable

  • Processes supplier invoices for payment.
  • Where required set-up in the vendors systems/websites login to have invoices to either automate the emailing of vendor invoices to HPA or to enable HPA to download invoices on a periodic basis.
  • Distributes invoices to appropriate department and follows-up for timely processing. This includes use of the HPA Pay Portal.
  • Maintain the finance email inbox.
  • Ensures all payments are properly authorized and coded.
  • Ensures the appropriate harmonized sales tax has been charged and recovered.
  • Inputs invoice data into MRI Accounts Payable.
  • Maintains banking information for customers paid electronically through EFTs, ACH, and wires.
  • Ensures VISA is properly coded and authorized through the VIM system.
  • Prepares disbursement of funds through EFT & cheque runs, on-line banking, ACH and wires.
  • Processes urgent payments.
  • Maintains Accounts Payable Subledger and balances monthly to the control account.
  • Reconciles supplier statements.
  • Calculates various monthly accruals and enters the accrual journal entry.
  • Creates journal entries and posting on a daily basis.
  • Reconciles month and year end balances for financial reporting.

Monthly PADs

  • Set-up and maintains pre-authorized parking and rent payments.
  • Runs monthly process.
  • Prepares report for entry to the AR subledger.

Other

  • Provides assistance for projects during the year as required, as business needs arise.
  • Provides backup for Payroll/Financial Clerk and Senior Accounting Clerk as required.
  • Ensures continuous work process improvements with the assistance of IT and other departments, resulting in improved work methods, more timely information, and cost savings.
  • Complies with HPA's Occupational Health and Safety Policy (HR-354-4) and all Occupational Health and Safety regulations as outlined by the Canada Labour Code. Demonstrates a commitment to promoting a safety culture while ensuring all safety procedures, policies, and best practices are followed.
  • Complies with HPA's Environmental Management Policy and demonstrates knowledge and adherence to the Environmental Management System (EMS), including associated programs and procedures applicable to daily tasks. Detailed roles and responsibilities are included in the EMS Core Manual.

NOTE: These are only the basic and primary duties; related and allied duties may be assigned from time to time as may become necessary to the operation of the Authority.

EDUCATION/EXPERIENCE

  • Successful completion of Grade 12 and completion of some introductory level accounting courses.
  • Three (3) years accounting related experience or equivalent education and experience and good knowledge of EDP systems (i.e., Excel, computer accounting systems) is required.
  • General knowledge of purchasing procedures would be an asset.
  • Able to communicate (verbally and in writing) effectively and professionally both internally and externally. Listens to understand and is able to communicate issues and concerns through the proper channels.
  • Must have the ability to work well in a team environment as well as independently.
  • Accepts the need for change and is able to learn and adjust quickly.
  • Interacts and cooperates with others in a respectful and supportive manner to assist in accomplishing team objectives.
  • Demonstrates ability to remain focused and effective under stressful situations with timelines met and goals accomplished.
  • Prioritizes workload. Understands impact of decisions on others.
  • Able to make decisions on day-to-day activity that will move the organization forward.
  • Manages sensitive and confidential situations with discretion, sensitivity, and professionalism.
  • A customer service mindset when dealing with employees and external stakeholders is essential.
  • Demonstrates the ability to problem-solve, exercise judgment, takes initiative, and is well organized.

WORKINGCONDITIONS

  • Normal Office Environment.
  • Hybrid option available at six (6) month mark, or sooner based on ability to master role.
