We are a vibrant STEAM after-school and summer camp center located in Newmarket, Ontario. Our center provides engaging and educational programs for school-aged children and teenagers, focusing on fostering their curiosity and passion for learning. We are seeking a dedicated and organized Administrative Assistant to join our team and contribute to the smooth operation of our center.
Requirements:
- Minimum 1 years experience in an administrative role or similar position.
- Minimum 1 year proven customer service experience.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Working with email marketing platforms such as Mailchimp is an asset.
- Proficiency in using standard office software and equipment.
- Attention to detail and a commitment to accuracy
Friendly, positive, and professional demeanour.
- Ability to multitask and prioritize tasks effectively.
- Passion for working with children and supporting their educational journey.
- Familiar with accounting fundamentals and assisting in preparing required accounting data is an asset.
- Available in person and online if needed for online team meeting.
Responsibilities:
- Answer phone calls and respond to inquiries in a friendly and professional manner.
- Handle email correspondence and maintain an organized inbox.
- Assist with registrations, including processing paperwork and updating records.
- Provide general administrative support to the director and other staff members.
- Help with basic marketing initiatives, such as preparing promotional materials managing social media accounts and coordinate and syncing with other team members regarding Hive5 social media, Ads, etc.
- Maintain office supplies and ensure a well-stocked and organized workspace.
- Ensure Center equipment is properly maintained and serviced;
Assist in coordinating scheduling and managing calendars and staff shifting
Collaborate with the team to ensure efficient and effective operation of the center.
- Perform other administrative tasks as assigned.
- Produce reports, forms, orders and any other material needed in the center.
- Receive cheques and/or payments for the common element fees (no cash policy for CEF), issue receipts (triplicate receipts required: 1st copy to the customer, 2nd copy attached to payment, 3rd copy remains in the book for audits) for any payments, update CEF list/record.
- Keep work area and office clean and tidy;
- Perform work related errands as requested.
- Maintain soft and hard copies of letters, correspondence, memos, requests, notices, etc. and keep them filed in an organized manner and writing daily reports.
- Resolve administrative problems and inquiries;
- Prepare written responses to routine enquiries.
Note: This position is apart-time/casual position The working hours and schedule will be discussed during the interview process.
